Receptionist (Part-time)

RECEPTIONIST

POSITION OBJECTIVE: This position is responsible for serving as the front desk receptionist in the Administration Building and managing Administration building lobby area in a quiet and professional manner. This includes handling all incoming calls to the school’s multi-line telephone system, greeting and assisting visitors, and performing other administrative duties as needed. This position may provide back-up to the Fine Arts Receptionist or other administrative assistants across campus, as needed.

The employee is committed to incorporating these qualities and standards in carrying out the calling to Christian education. A friendly, pleasant and professional demeanor, with the ability to project a positive first impression of the school in person, over the telephone, and via e-mail is critical to the success of this role. This employee must have the ability to work independently and manage multiple priorities with frequent interruptions, as well as remaining composed in emergency and/or volatile situations. In addition, they must display discretion and sensitivity in handling confidential matters, be able to establish and maintain effective working relationships with staff, students, parents, volunteers, and prospective student families, etc. Other qualities include being conscientious, dependable and flexible, displaying a strong work ethic, integrity, team values, and service-orientation.

EDUCATION AND EXPERIENCE REQUIRED: A high school diploma. Experience as a receptionist, clerical support or other customer service related positions. Proficiency with using Google applications and other office equipment. Previous experience in a school environment is desirable.

MAJOR RESPONSIBILITIES:

  • Welcomes visitors to the office; responds to their inquiries and/or directs them to appropriate school personnel; maintains the reception area in a clean, orderly and welcoming manner.

  • Answers incoming calls on the school’s multi-line telephone system; responds to general inquiries, directs callers to appropriate extensions and/or takes messages.

  • Answer calls rolling-over from other departments and schools across campus and respond/direct as appropriate

  • Retrieves messages from the general voice mailbox and forwards to appropriate personnel.

  • Sorts incoming mail for routing by a student helper.

  • Assists faculty, staff and students in operating the postage meter, fax machine and copier.

  • Cleans and organizes the kitchen.

  • Prepares information packets and mails them to prospective families on a regular basis; creates packets for campus events as requested by Admissions.

  • May perform other administrative assistance as needed, such as typing letters or assisting with mass mailings.

  • May participate occasionally in Emergency Response protocols; call 911 or HCS Security as needed.

    • Provide friendly customer service

    • Assist customers with in-store purchases and online order pickup

    • Restock merchandise and maintain well-organized displays

PHYSICAL REQUIREMENTS: Must be able to move 25 pounds, operate and access all office equipment within his or her work area, remain stationary for extended periods of time, and negotiate the campus as needed. While performing the duties of this job, the employee is regularly required to communicate, converse with others, express oneself and exchange information.. The employee must occasionally move or position oneself accordingly. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus.

WORK ENVIRONMENT: Office environment with moderate to loud noise level. Uses computer, phone and other small business/office. Works alone and with others. Some exposure to the weather may occur while crossing the HCS campus.

WORK SCHEDULE: This is a year-round part-time position that does not follow the Academic calendar. Specific days and hours to be determined.
