Schedule: 9 hours/day including 1-hour break (rotating AM/PM shifts)

Role Summary:

We are looking for a professional and customer-oriented Receptionist to be the first point of contact at our Dubai office. The Receptionist will manage front-desk operations, welcome and assist walk-in clients, coordinate with the operations team, and ensure a smooth client experience. The role combines traditional reception duties with customer service responsibilities to support Vicekeeper’s high service standards.

Key Responsibilities:

  • Greet and welcome walk-in clients, creating a professional and friendly first impression.
  • Answer, screen, and direct phone calls, emails, and inquiries efficiently.
  • Manage front-desk operations including visitor logs, appointments, and scheduling.
  • Handle incoming/outgoing mail, deliveries, and courier services.
  • Provide information about Vicekeeper services and guide clients through available options.
  • Prepare and process service agreements/contracts accurately.
  • Coordinate with the operations team to match clients with appropriate workers.
  • Ensure payments, documentation, and office records are handled accurately.
  • Maintain and update customer information in the CRM with strict confidentiality.
  • Follow up with clients to ensure satisfaction and resolve issues when needed.
  • Keep the reception and waiting area clean, organized, and welcoming.
  • Support general administrative and office tasks as required.

Qualifications & Skills:

  • Fluency in English. ( Arabic is a plus)
  • Minimum 2 years experience as a receptionist or Front Desk Officer, with a strong background in customer service.
  • Strong command of English (spoken and written); additional languages are an advantage.
  • Professional appearance and excellent interpersonal skills.
  • Proven ability to manage multiple tasks with strong organisational and time-management skills.
  • Confident communicator with polite telephone and in-person etiquette.
  • Comfortable handling contracts, office systems, and basic administrative processes.
  • Positive, proactive attitude with a focus on client satisfaction.
