Administrative Assistant – Reception / Front Desk

About Us:
We are a fast-paced Real Estate Law Firm dedicated to providing excellent service and support throughout the real estate process. We are seeking a proactive and highly organized Administrative Assistant to serve as the first point of contact at our reception desk. The ideal candidate will be professional, efficient, and comfortable managing multiple priorities in a busy office environment.

Position Overview:
The Administrative Assistant Reception provides front desk and administrative support to attorneys, staff, and clients. This position requires a proactive individual with excellent communication skills, strong attention to detail, and the ability to stay organized while managing multiple priorities. The ideal candidate is client-focused, comfortable with technology, and thrives in a professional, deadline-driven environment.

Key Responsibilities:

· Provide exceptional customer service via phone, email, and in-person interactions

· Greet, sign in, and assist visitors in a professional and welcoming manner

· Operate multi-line phone systems efficiently to manage incoming calls and messages

· Schedule appointments, maintain calendars, and coordinate meetings

· Maintain organized files, case records, and office documents

· Support attorneys and staff with general office and administrative tasks as needed

· Maintain a clean, professional, and organized reception and workspace

· Ensure confidentiality and compliance with firm policies and legal requirements

Qualifications:

· 3+ years of administrative, receptionist, or front desk experience (law firm or real estate office experience a plus)

· Strong organizational skills and the ability to multitask in a high-volume setting

· Excellent verbal and written communication skills with a professional demeanor

· Proficiency in Microsoft Office Suite (Word, Excel, Outlook); ability to learn firm-specific software

· Detail-oriented with a strong commitment to accuracy and efficiency

· Ability to work independently and collaboratively in a team environment
