Receptionist/Administrative Assistant

Job Overview
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and exceptional customer service. You will serve as the first point of contact for visitors and callers, manage office tasks efficiently, and support various administrative functions to keep our workplace running seamlessly. Responsibilities

  • Greet visitors and clients warmly, providing a professional and welcoming front desk experience
  • Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
  • Handle incoming emails, messages, and inquiries promptly, ensuring effective communication flow
  • Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools
  • Perform data entry, proofread documents, and assist with clerical tasks such as photocopying, scanning, and faxing
  • Support office management activities including calendar management, appointment scheduling, and meeting coordination
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed
  • Manage office supplies inventory and coordinate procurement to ensure smooth operations
  • Provide customer support by addressing inquiries professionally and efficiently in person or via phone/email
  • Support personal assistant duties such as calendar management for executives or team members

Experience

  • Prior office experience or administrative support experience preferred; strong clerical skills are essential
  • Proven ability to handle multi-line phone systems with professionalism and courtesy
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Drive) required
  • Familiarity with QuickBooks or bookkeeping software is a plus
  • Excellent organizational skills with keen attention to detail and time management capabilities
  • Strong typing skills along with proofreading abilities to ensure accuracy in all communications
  • Previous experience as a dental or medical receptionist is advantageous but not mandatory; customer service experience is always valued
