Duties
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems with professionalism, maintaining excellent phone etiquette and customer support
- Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and confidentiality
- Maintain organized filing systems, data entry, and record keeping using tools like Microsoft Office, Google Workspace, and QuickBooks
- Schedule appointments, manage calendars, and coordinate meetings efficiently for staff and management
- Assist with office management tasks such as ordering supplies, organizing documents, and supporting daily operations
- Provide clerical support including proofreading documents, preparing reports, and managing time-sensitive tasks with precision
Qualifications
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with multi-line phone systems and excellent phone etiquette skills
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Familiarity with QuickBooks or bookkeeping experience is a plus
- Strong typing skills along with good data entry accuracy
- Excellent customer service skills with a friendly demeanor and professional appearance
- Ability to handle confidential information discreetly while managing multiple priorities efficiently
- Previous experience in medical or dental receptionist roles is advantageous but not required; training will be provided for specialized duties such as calendar management or personal assistant tasks
