Job Overview
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. You will be the first point of contact for visitors and callers, providing a warm welcome while handling various clerical duties that keep our office running seamlessly. Daily hours: 7am - 1pm
Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
- Handle incoming correspondence, emails, and inquiries with efficiency and professionalism
- Maintain organized filing systems, both physical and digital, including data entry and document proofreading
- Support office management tasks such as calendar management, patient appointment scheduling, meeting coordination, records request.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed
- Provide excellent customer support by addressing questions or concerns promptly and courteously
- Perform general clerical duties including photocopying, faxing, mailing, and inventory management of office supplies
- Support personal assistant functions such as travel arrangements or special project assistance as required by the providers and Practice Manager.
- Perform prior authorizations, referrals, and appeal requests.
- Assist in claim management with the providers and Practice Manager.
There are many qualifications below. However work ethic , reliability, timeliness, and personality will trump requirements.
Requirements
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Familiarity with multi-line phone systems and excellent phone etiquette skills
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Experience with QuickBooks or bookkeeping is a plus but not mandatory
- Strong typing skills with high accuracy; ability to perform data entry efficiently
- Excellent communication skills—both written and verbal—along with proofreading capabilities
- Ability to manage time effectively in a fast-paced environment while prioritizing tasks
- Previous experience as a receptionist, medical or dental receptionist, or personal assistant is advantageous
- Knowledge of office management practices, clerical procedures, and customer service principles
