Receptionist/Administrative Assistant

Overview
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and excellent customer service. The ideal candidate will be energetic, detail-oriented, and possess strong organizational skills to manage multiple tasks efficiently. You will be the first point of contact for visitors and clients, providing a warm welcome while handling a variety of clerical duties that keep our office running seamlessly. Responsibilities

  • Greet visitors, clients, and vendors with professionalism and enthusiasm, creating a welcoming atmosphere
  • Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
  • Handle front desk operations including checking in guests, scheduling appointments, and maintaining visitor logs
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
  • Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for daily administrative tasks
  • Assist with calendar management, appointment scheduling, and coordinating meetings for staff members
  • Support bookkeeping activities including basic bookkeeping tasks and invoice processing as needed
  • Maintain office supplies inventory and organize filing systems for easy retrieval of documents
  • Provide excellent customer support by addressing inquiries promptly and professionally
  • Support other administrative duties such as copying, scanning, and managing correspondence

Experience

  • Previous office experience or clerical experience demonstrating strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry tools
  • Experience with multi-line phone systems and phone etiquette in a professional setting
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Familiarity with office management software such as QuickBooks or similar accounting tools is a plus
  • Experience in customer service roles or as a receptionist—particularly in medical or dental environments—is advantageous
  • Strong time management skills with the ability to prioritize tasks efficiently
  • Personal assistant or medical receptionist experience is beneficial but not required; training will be provided for specific duties
