Receptionist/Administrative Assistant

Job Overview
We are seeking a highly organized and motivated Receptionist/Administrative Assistant to join our team. This role is essential in providing exceptional customer service and administrative support to ensure the smooth operation of our office. The ideal candidate will possess strong communication skills, a friendly demeanor, and the ability to manage multiple tasks efficiently.

Duties

  • Monday - Friday, 8:30 - 5:00
  • Manage multi-line phone systems, directing calls appropriately and responding to inquiries with excellent phone etiquette.
  • Perform clerical duties including data entry, filing, and maintaining organized records.
  • Utilize QuickBooks for bookkeeping tasks as needed.
  • Provide customer support by addressing client needs and resolving issues promptly.
  • Assist with calendar management, scheduling appointments, and coordinating meetings.
  • Maintain office supplies inventory and assist with office management tasks.
  • Prepare documents using Microsoft Office and Google Workspace applications, ensuring accuracy through proofreading.
  • Support administrative functions by performing various tasks as assigned by management.
  • Leverage organizational skills to prioritize tasks effectively in a fast-paced environment.

Qualifications

  • Ability to multitask is a must
  • Previous experience in an office environment or as a receptionist is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is required.
  • Familiarity with QuickBooks is preferred
  • Strong typing skills with attention to detail for accurate data entry and filing.
  • Excellent organizational skills with the ability to manage time effectively.

  • Experience in customer service or support roles is essential for this position.
  • Ability to work independently while being a proactive team player.

Pay: $50,000.00 - $55,000.00 per year
