Receptionist/Administrative Assistant

Job Overview
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and excellent customer service. The ideal candidate will be energetic, detail-oriented, and possess strong office management skills. You will be the first point of contact for visitors and callers, managing communications efficiently while supporting various administrative tasks to keep our office running seamlessly. Responsibilities

  • Greet visitors warmly, manage check-in procedures, and direct them appropriately
  • Answer multi-line phone systems promptly with professional phone etiquette
  • Handle incoming and outgoing correspondence, including emails and mail distribution
  • Maintain organized filing systems, data entry, and document proofreading to ensure accuracy
  • Manage appointment scheduling, calendar management, and coordinate meetings using Google Workspace or Microsoft Office tools
  • Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and record keeping
  • Provide exceptional customer support by addressing inquiries efficiently and courteously
  • Assist with clerical duties including typing, photocopying, scanning, and maintaining office supplies

Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with multi-line phone systems and excellent phone etiquette skills
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Prior clerical or administrative experience with data entry, filing, proofreading, and customer service preferred
  • Knowledge of office management practices such as calendar management, time management, and general bookkeeping (QuickBooks experience is a plus)
  • Strong interpersonal skills with a friendly demeanor and professional appearance
  • Ability to handle confidential information discreetly and maintain a high level of professionalism
  • Personal assistant or medical/dental receptionist experience is advantageous but not required
