Receptionist/Administrative Assistant

Job Overview
We are seeking an energetic and detail-oriented Administrative Assistant to join our dynamic team. In this vital role, you will be the first point of contact for visitors and callers, providing exceptional customer service while managing a variety of administrative tasks. Your proactive approach and organizational skills will ensure smooth office operations, support team members, and enhance overall efficiency.

Responsibilities

  • Greet visitors warmly, manage front desk operations, and ensure a professional first impression.
  • Answer multi-line phone systems promptly, directing calls with excellent phone etiquette and customer support skills.
  • Handle data entry, filing, and document proofreading to maintain accurate records and organized files.
  • Manage calendar appointments, schedule meetings, and coordinate calendar management for staff or executives.
  • Utilize Microsoft Office Suite and Google Workspace tools for document creation, email correspondence, and report generation.
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping.
  • Provide general office support including mail distribution, and maintaining office equipment.

Qualifications

  • Proven office experience with strong clerical skills and familiarity with front desk operations.
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications.
  • Demonstrated organizational skills with the ability to multitask efficiently in a fast-paced environment.
  • Strong communication skills with professional phone etiquette; bilingual abilities are a plus.
  • Experience with data entry, proofreading, filing systems, and basic bookkeeping using QuickBooks is preferred.
  • Prior experience as a medical or dental receptionist or personal assistant is advantageous but not required.
