Duties

  • Greet visitors warmly, providing exceptional customer service with professional phone etiquette.
  • Manage multi-line phone systems to direct calls accurately and efficiently.
  • Handle front desk operations, including scheduling appointments, managing mail, and maintaining a tidy reception area.
  • Perform data entry tasks using Microsoft Office, Google Workspace, and other office management software to update records and maintain databases.
  • Assist with clerical duties such as filing, proofreading documents, and organizing office supplies.
  • Support calendar management and appointment scheduling for team members or executives.
  • Provide general administrative support including copying, scanning, and preparing reports or correspondence.
  • Maintain confidentiality of sensitive information while delivering excellent customer support.
  • Support office management tasks such as organizing files, managing office supplies inventory, and ensuring smooth daily operations.

Experience

  • Proven office experience or administrative support background in a professional setting.
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry tools.
  • Experience handling multi-line phone systems and demonstrating excellent phone etiquette.
  • Bilingual abilities are highly desirable to serve diverse client needs effectively.
  • Previous roles as a receptionist or personal assistant are advantageous.
  • Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively.
  • Clerical experience involving filing, proofreading, and document management is preferred.
