Administrative Assistant (Front Desk & Intake Focus)

Location: Topeka, KS

Pay: $40,000–$46,000+ per year, depending on experience

We are seeking a highly organized, professional, and technology-savvy Administrative Assistant to join our team. This role is essential to the day-to-day operations of our office, serving as the first point of contact for clients while supporting attorneys and staff with administrative and intake-related tasks.

Key Responsibilities

Front Desk & Client Interaction

  • Answer, screen, and direct high-volume phone calls with professionalism and efficiency
  • Greet clients and visitors, creating a welcoming and organized office environment
  • Manage incoming and outgoing mail, legal documents, and deliveries

Administrative & Office Support

  • Utilize Microsoft 365 (Outlook, Word, Excel, Teams), Adobe, and office equipment (multi-line phone system, copiers, scanners, fax, postage machine)
  • Maintain accurate schedules, appointments, and shared calendars
  • Accurately track time and maintain awareness of daily schedule and responsibilities
  • Maintain consistent communication with the team throughout the day via phone, email, and internal messaging
  • Organize and maintain digital and physical case files, including working within shared document systems such as SharePoint
  • Oversee readiness and organization of office spaces, including conference rooms, break room, and supplies
  • Assist attorneys and staff with document preparation, intake entry, scheduling, data entry, and correspondence

Qualifications & Requirements

  • Minimum 2 years of experience in an administrative or receptionist role
  • Technological excellence in Microsoft 365 (Teams, Outlook, Word, Excel, SharePoint) and general office systems
  • Comfortable learning and navigating new systems (CRM, phone systems, digital calendars)
  • Strong organizational and problem-solving skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • Reliable, detail-oriented, and able to handle confidential information with discretion
  • Professional, dependable, and punctual
  • Able to work independently while contributing to a team environment
  • Comfortable in a fast-paced setting with competing priorities
  • Strong professional references required

Schedule & Work Setting

  • Full-time, in-person position
  • Office-based role in Topeka, KS
  • Consistent attendance and communication regarding availability are expected
