Receptionist/Administrative Assistant

Job Overview
We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. Responsibilities

  • Greet visitors, clients, and vendors warmly, providing excellent customer service and ensuring a positive first impression
  • Manage multi-line phone systems, screen calls, take messages, and direct inquiries appropriately
  • Handle front desk duties including scheduling appointments, maintaining visitor logs, and organizing incoming/outgoing mail
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools
  • Assist with calendar management, appointment scheduling, and coordinating meetings for staff and executives
  • Support office management Admissions, Social service, payroll, and Business Office tasks such as filing, proofreading documents, and maintaining organized workspaces
  • Provide clerical support including photocopying, faxing, inventory management, and basic bookkeeping using QuickBooks or similar software

Requirements

  • Proven office experience with strong computer literacy in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Strong typing skills and attention to detail for accurate data entry and proofreading
  • Exceptional phone etiquette and customer service skills to handle inquiries professionally
  • Bilingual abilities are highly desirable to serve diverse client needs effectively ( Armenian, Russian, Spanish Preferred but not required)
  • Previous experience as a receptionist or administrative assistant in medical or dental offices is a plus
  • Knowledge of multi-line phone systems, office management procedures, and clerical tasks such as filing and data entry
  • Personal assistant or medical receptionist experience is advantageous for supporting busy professionals or healthcare environments
  • Ability to manage time efficiently while juggling multiple responsibilities with a positive attitude

Pay: $20.00 - $24.00 per hour
