Receptionist/Administrative Assistant

Job Overview
We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. In this vital role, you will be the first point of contact for visitors and clients, ensuring a welcoming and professional environment. You will manage a variety of administrative tasks, support office operations, and provide exceptional customer service. Your proactive approach and organizational skills will help keep our office running smoothly and efficiently, contributing to a positive workplace atmosphere.

Duties

  • Greet visitors, clients, and vendors with warmth and professionalism, providing excellent customer service at all times
  • Manage multi-line phone systems, screen calls, take messages, and direct inquiries to appropriate staff members
  • Maintain a clean, organized front desk area and ensure all reception areas are welcoming and professional
  • Handle data entry, filing, and document proofreading to support office operations
  • Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
  • Assist with basic bookkeeping tasks using QuickBooks and support office management activities such as supply ordering and inventory tracking
  • Support clerical duties including typing correspondence, managing incoming/outgoing mail, and maintaining accurate records

Qualifications

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and general computer literacy
  • Experience with multi-line phone systems and phone etiquette essential for effective communication
  • Bilingual abilities are a plus to serve diverse client needs effectively
  • Familiarity with QuickBooks for bookkeeping tasks preferred but not required
  • Strong attention to detail for proofreading documents and data entry accuracy
  • Excellent time management skills to prioritize tasks efficiently in a fast-paced environment
  • Previous experience as a receptionist or administrative assistant in medical or dental offices is advantageous
  • Personal assistant or calendar management experience is beneficial for supporting team members’ schedules
