Receptionist/Administrative Assistant

We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our team. This vital role combines front desk responsibilities with administrative support to ensure smooth daily operations. The ideal candidate will be proactive, highly organized, and possess excellent communication skills to create a welcoming environment for clients and support our office functions. Responsibilities

  • Greet visitors warmly and professionally at the front desk, managing multi-line phone systems with courteous phone etiquette
  • Answer and direct all incoming calls efficiently, providing exceptional customer service support
  • Manage appointment scheduling and calendar management for team members using our CRM program (Jobber)
  • Perform data entry, filing, and document proofreading to maintain accurate records and ensure organizational efficiency
  • Handle general office management tasks such as mail distribution, supply inventory, and basic bookkeeping using QuickBooks or similar software
  • Support clerical duties including typing correspondence, maintaining files, and supporting customer support inquiries
  • Assist with personal assistant tasks and coordinate office activities to optimize workflow

Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with multi-line phone systems and phone etiquette in a professional setting
  • Knowledge of QuickBooks or bookkeeping experience is desirable for financial tasks
  • Excellent time management skills with the ability to prioritize tasks efficiently
  • Previous clerical or administrative experience in a customer service environment preferred
  • Strong typing skills along with proofreading capabilities to ensure error-free documents
