Receptionist/Administrative Assistant

Job Overview
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and exceptional customer service. You will serve as the first point of contact for visitors and callers, manage office tasks efficiently, and support various administrative functions to keep our workplace running seamlessly. Responsibilities

  • Greet visitors warmly, direct them appropriately, and manage the front desk with professionalism and enthusiasm
  • Operate multi-line phone systems, answer inquiries promptly, and route calls accurately using proper phone etiquette
  • Manage appointment scheduling and calendar coordination for staff and executives
  • Perform data entry, maintain organized filing systems, and handle document proofreading to ensure accuracy
  • Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for correspondence, reports, and record keeping
  • Support office management tasks such as inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar software
  • Assist with clerical duties including filing, photocopying, faxing, and preparing correspondence or reports as needed

Experience

  • Previous office experience or administrative support roles preferred; experience in medical or dental reception is a plus
  • Strong computer literacy with proficiency in Microsoft Office applications and Google Workspace tools
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Bilingual abilities are highly desirable to enhance communication with diverse clients and team members
  • Demonstrated customer service skills with a friendly demeanor and professional phone etiquette
  • Experience with data entry, proofreading, filing systems, and basic bookkeeping (e.g., QuickBooks) is advantageous
  • Personal assistant or medical receptionist experience is beneficial but not required; training will be provided for specific duties
