Receptionist/Administrative Assistant

Job Summary
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! In this vital role, you will serve as the first point of contact for visitors and clients, ensuring a welcoming environment while efficiently managing administrative tasks. Applicants must be dependable, trustworthy, and dedicated to promoting a positive and cooperative work environment.

Duties / Key Responsibilities

  • Greet clients warmly and direct them appropriately, maintaining a professional front desk presence
  • Manage multi-line phone systems, answer inquiries promptly, and transfer calls with excellent phone etiquette
  • Support calendar management, appointment scheduling, and coordinate meetings using Microsoft Office and Google Workspace tools
  • Maintain organized filing systems, scanning, data entry records, and ensure document proofreading for accuracy
  • Assist with basic bookkeeping tasks using QuickBooks or similar accounting software as needed
  • Perform clerical duties such as photocopying, scanning, typing documents, and maintaining office supplies

Qualifications

  • At least 1 year experience in receptionist, office administration, or clerical roles with strong organizational skills, preferably in a legal setting
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Adobe, and a familiarity with MyCase would be great
  • Familiarity with multi-line phone systems and phone etiquette standards
  • Excellent written and verbal communication skills with attention to detail for proofreading tasks
  • Strong time management skills to prioritize tasks efficiently in a busy environment
  • Previous experience as a receptionist or administrative assistant in a law office or legal setting is advantageous
  • Demonstrated ability to handle confidential information discreetly and professionally

Pay: $20.00 - $23.00 per hour
