Receptionist/Assistant

Duties

  • Greet visitors and clients warmly, ensuring a positive first impression
  • Manage multi-line phone systems, screen calls, and direct inquiries efficiently
  • Maintain organized filing systems and perform data entry with accuracy (operations)
  • Support office management tasks such as calendar scheduling and appointment setting
  • Handle incoming and outgoing correspondence, including proofreading documents
  • Assist with bookkeeping activities using QuickBooks or similar accounting software
  • Provide exceptional customer service by addressing inquiries promptly and professionally
  • Support administrative tasks such as typing reports, managing office supplies, and organizing files
  • Run errands

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Experience with front desk operations and multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs
  • Knowledge of office management procedures and clerical best practices
  • Demonstrated customer service skills with professional phone etiquette
  • Ability to perform data entry accurately and efficiently in a fast-paced environment
  • Familiarity with medical or dental receptionist duties is a plus
  • Personal assistant experience or calendar management skills are advantageous
  • Basic bookkeeping knowledge using QuickBooks or similar software is preferred
  • Strong proofreading skills to ensure error-free documents
  • Time management skills to handle multiple responsibilities seamlessly
