Receptionist / Member Services Representative
The Receptionist / Member Services Representative serves as the first point of contact for members, visitors, and callers, delivering a professional and welcoming experience. This role is an in-office position responsible for managing incoming communications, resolving general member inquiries on first contact whenever possible, maintaining accurate member records within the CRM system, and supporting overall front office operations.
Key Responsibilities:
Front Office & Call Management
- Operate multi-line phone system to answer and route incoming calls efficiently and professionally.
- Greet and direct on-site visitors; monitor visitor access and issue passes as needed.
- Retrieve and distribute voicemail messages appropriately.
- Provide general organizational information (address, event information, hours, services).
First Call Resolution & Member Support
- Resolve general member inquiries during the initial call whenever possible (basic organizational site navigation, basic policy clarification, simple member requests).
- Utilize sound judgment to determine when escalation is required.
- Ensure accurate, timely follow-up on issues not resolved during first contact.
- Deliver courteous, empathetic, and solutions-focused service aligned with organizational standards.
CRM & Data Management
- Accurately document all member interactions within the CRM system or shared documentation.
- Update basic member demographics (address, phone number, email, household information, etc.) as requested.
- Enter notes, member requests, and follow-up actions in accordance with documentation standards.
- Maintain confidentiality and data integrity in compliance with organizational policies.
Administrative Support
- Support internal teams with basic administrative tasks as assigned.
- Maintain front desk materials, forms, and informational resources.
- Contribute to continuous improvement efforts by identifying common call drivers or recurring member concerns.
Qualifications
- 6–12 months of customer service, call center, nonprofit, or front office experience, or equivalent combination of education and experience.
- Experience using basic CRM or database systems preferred.
- Intermediate proficiency in Microsoft Office Suite or similar tools.
- Bilingual (Spanish) preferred but not required.
- Strong verbal and written communication skills.
- Customer-focused mindset with ability to de-escalate situations.
- Attention to detail and accuracy in documentation.
- Ability to prioritize tasks in a fast-paced environment.
- Professional judgment and discretion.
- Comfort navigating multiple systems simultaneously.
- Familiarity with Zoom and Microsoft Teams
