Receptionists/Accounts Payable/Admin Clerk

Job Summary
We are seeking a dynamic and organized Receptionist/Accounts Payable/Admin Clerk to join our team! This vital role combines front desk management, administrative support, and basic bookkeeping to ensure smooth daily operations. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills. You will serve as the first point of contact for visitors and callers while managing essential clerical tasks, including data entry, filing, and invoice processing. Your proactive approach will help foster a welcoming environment and support efficient office management.

Responsibilities

  • Greet visitors and answer multi-line phone systems with professionalism and courtesy, maintaining excellent phone etiquette.
  • Manage front desk operations, including scheduling appointments, handling incoming inquiries, and directing calls appropriately.
  • Process accounts payable transactions using Pro-Contractor or similar accounting software, ensuring timely invoice entry and payment processing.
  • Maintain organized filing systems for documents, correspondence, and financial records to support easy retrieval and compliance.
  • Assist with data entry tasks such as updating client information, entering invoices, and maintaining accurate records in Microsoft Office applications.
  • Support office management.
  • Provide exceptional customer service by supporting clients, vendors, and internal teams with professionalism and efficiency.

Requirements

  • Proven office experience with clerical responsibilities such as filing, data entry, and customer support.
  • Strong computer skills including proficiency in Microsoft Office (Word, Excel) and basic bookkeeping with Pro-Contractor.
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Experience handling multi-line phone systems and demonstrating professional phone etiquette.
  • Attention to detail in proofreading documents and maintaining accurate records.
  • Prior experience as a receptionist or administrative assistant in Construction or Manufacturing is advantageous but not required.
  • Strong time management skills with the ability to prioritize tasks efficiently.

Pay: $23.00 - $26.00 per hour
