Records Management Specialist

As a Records Management Specialist, you play a vital role in ensuring the integrity, security, and accessibility of organizational records. You manage the entire lifecycle of records, from creation to disposal, adhering to legal and regulatory requirements. You contribute to efficient information governance and support the organization's compliance efforts.

  • Proficiency in records management principles and practices.
  • Working knowledge of records management.
  • Experience managing SharePoint sites.
  • Perform records management activities according to Federal government privacy and legal requirements.
  • Assist in the development of analyses and reports associated with the Freedom of Information Act (FOIA) and the Privacy Act (PA) processes.
  • Manage the flow of FOIA and PA correspondence or requests and establish processes to provide prompt responses to requestors in accordance with FOIA policies, procedures, and guidelines.
  • Perform technical tasks involved in maintaining Salesforce Customer Relationship Management (CRM) system.
  • Participate in the development of information management policies and governance of supporting applications on Microsoft 365 and Salesforce platforms.
  • Manage SharePoint sites content and permissions.
  • Create and execute PowerShell scripts to produce reports and perform records management tasks.
  • Compile data for reports, transcribe reports, and maintain indexes.
  • Ensure that all work products are proofread and free of errors, omissions, and inconsistencies.
  • Strong analytical and problem-solving skills.
  • Excellent written and verbal communication skills.

Education & Experience:

  • Bachelor's degree in Information Management, Public Administration, Business Administration, or a related field is preferred; however, equivalent combinations of education, certifications, and relevant professional experience will be considered.
  • Minimum of 3 years of experience in records management, information governance, or a related role.
  • Experience with Freedom of Information Act (FOIA) and Privacy Act (PA) compliance

Preferred Qualifications:

  • Certification in records management (e.g., CRM, IGP).
  • Experience with Security Information and Event Management.
  • Experience with Security Orchestration, Automation, and Response.
A minimum of three (3) years of continuous, progressively responsible experience supporting records management, FOIA/Privacy Act (PA) processing, or a closely related information management function within a federal or enterprise environment.
