Records Management Specialist

Summary Of Work

Perform advanced-level professional work involving the analysis, development, implementation, and coordination of records management, forms management, and related information systems to ensure compliance with NDCC Chapters 54-46-05 and 54-44.6 and statewide information technology standards.

Duties and Tasks

  • Administer and coordinate the agency's records management program.
  • Oversee and support the analysis and coordination of the agency's forms management activities.
  • Coordinate and evaluate asset management activities.
  • Perform analysis and support of information access and retrieval functions.
  • Review, assist, and oversee department records and forms to ensure compliance with Americans with Disabilities (ADA) requirements.
  • Provice IT policy guidance and system support across multiple functional areas.
  • Serve as back-up support for responding to open record requests as needed.

Minimum Qualifications

  • An associate's degree in Records Management, Information Management, Information Systems, Information Technology, Library and Information Science, Archival Studies, or a closely related field and two years of relevant experience. To note, relevant work experience performing comparable duties may be substituted for the educational requirement on a year-for-year basis.
  • Strong organizational skills with the ability to manage competing priorities and maintain attention to detail.
  • Excellent communication skills, both written and verbal.
  • Willingness to create, implement, and manage new or evolving processes.

Preferred Qualifications

  • Bachelor's degree in in Records Management, Information Management, Information Systems, Information Technology, Library and Information Science, Archival Studies, or a closely related field and five years of relevant experience.
  • Experience administering records management, forms management, or information governance programs.
  • Experience with electronic records management or document management systems.
  • Knowledge of records retention, public records requirements, and information lifecycle management.
  • Experience reviewing documents and forms for ADA accessibility compliance.
  • Experience developing policies, procedures, and business process improvements.
  • Experience supporting information technology systems, projects, or governance activities.
  • Experience responding to open records requests.
  • Professional certification in records or information management is preferred.
