Brief Description

Job Summary

Under general direction and in compliance with standard operating procedures and policies, organizes, formulates, implements and maintains recreation programs for diverse ages, interests and genders in the Parks, Recreation and Tourism (PRT) Department. Acts as on-site coordinator, exercising a moderate level of discretion in the interpretation and application of policies, operating procedures, and rules in organizing and directing event and programming staff and volunteers throughout activities. Sets up and breaks down special event equipment (i.e. tents, tables, chairs, signs, banners, audio-visual equipment, etc.). Tracks and maintains participant and program records as needed. Assists in leading and coordinating seasonal and temporary personnel and volunteers. Connects with neighborhood associations, non-profit agencies, and organizations to foster community involvement and provide critical feedback to City management. Maintains and implements City safety protocols and procedures as required. Works varying, flexible hours to include evenings and weekends.

  • Plan, Coordinate, and Evaluate Assigned Event and Program Logistics: Organize, create, and assist Recreation Operations Manager with City of Greenville events and programs. Schedule and conduct organizational meetings to determine program goals and objectives. Create and present presentations, speeches, proposals, etc. regarding PRT programs and events to City management, boards of directors, and/or prospective program representatives. Act as a liaison between contracted program representatives and local authorities, vendors, and suppliers. Administer contracts and service agreements with external groups, vendors, etc. according to established ordinances and policies. Ensure delivery of agreed upon terms and coordinate payment for services. Evaluate and recommend improvements for all aspects of recreation programs/events such as fitness programs, holiday events and pop-up engagements. Coordinate one or more of the following areas:
    • Programs: Assist with coordination and implementation of programs in City parks. Research innovative ideas for programming. Communicate with external organizations about hosting events inside and outside of City facilities, to coordinate schedules, logistical needs, rain plans, and facility needs for each program. Organize walkthroughs with partner organizations utilizing City facilities. Collaborate with sales and marketing staff on marketing programming to the community. Track and maintain participant and program records as needed. Monitor and evaluate program effectiveness, recommend changes and implement management decisions. May be responsible for handling or processing of program payments and monitoring nominal expenditures. Assist in leading and coordinating seasonal and temporary personnel and volunteers.
    • Operations/Logistics: Coordinate with local authorities to ensure all permits/applications for City-organized programming are completed in a timely manner. Coordinate with other departmental staff to provide staff resources, materials and equipment needed for various programs and events. Set up and break down special event equipment (i.e. tents, tables, chairs, signs, banners, audio-visual equipment, etc.).Create site maps and build-out spreadsheets for staff, crew, vendors, City departments, and local authorities to ensure the success of programming. Write and distribute notification letters to all staff and volunteers. Create and maintain a database of all vendor contact information. Recruit, interview, coordinate, schedule and train temporary staff and volunteers for programming.

  • Organize and Engage Programming Partnerships: Build, maintain, and coordinate relationships with partners, including community organizations, committees, and recreation partners. Collaborate with partners to organize and execute community programs and events. Assist in identifying and securing sponsorships and recreation programs and events. Implement agreements for community partnerships, contracts, and sponsorships, facility rentals related to programs and events in all City parks and facilities. Ensure that all logistical and operational aspects of these agreements are managed to provide high quality programming to the community. Develop and implement strategies for coordinating efforts with partners to enhance programming in City parks and facilities. Coordinate with recreation staff to create and keep current informational displays. Assist with organization and maintenance of historical content. Work with Unity Park staff to coordinate tours of Welcome Center historic exhibit for the public, business groups, service organizations and other community groups.   • Support Marketing and Promotion Efforts of Recreation Programs and Neighborhood Services: Communicate and provide information about City policies, procedures, programs, services, and objectives with the public and neighborhood associations. Support these associations in their formation, communication efforts, project planning, and implementation. Assist other divisions within PRT with neighborhood-related communications. Aid in creating presentations for community groups and organizations. Collaborate with external organizations and agencies on special projects and attend public and neighborhood association meetings.

Qualifications

Job Requirements

  • Bachelor’s degree in parks, recreation, tourism, event management, education, recreation programs, community relations, or a related field.

  • Over two (2) years of experience in recreation programming, planning, and executing special events.

  • CPR, First Aid, & AED certification within one (1) year of employment.



Driver's License Requirements

  • Valid South Carolina Class D Driver's License.

  • Work a schedule requiring non-traditional workdays.

  • Operate department equipment to include, hand trucks, utility vehicles, and vehicles.

  • Operate general office equipment to include scanner, printer, copier, telephone, and computer with Microsoft Office Suite.

  • Utilize specialized software and systems to include registration software, venue layout software and graphic design software (Adobe Creative Suite, to include Photoshop and Illustrator, and other software).

Working Conditions

Primary Work Location: City Hall, Community Centers, Unity Park, outdoor park spaces, fields and courts.

Protective Equipment Required:
Closed-toe shoes, rain jacket, gloves, hat, and sunglasses.

Environmental/Health and Safety Factors:

Relatively free from unpleasant environmental conditions or hazards. Seasonal exposure to extreme temperatures and wetness/humidity.

Physical Demands:

Constantly requires hearing, vision, talking, carrying, and pushing/pulling. Frequently requires fine dexterity, handling/grasping, reaching, twisting, sitting, standing, and walking. Occasionally requires lifting, bending, climbing, crouching and stooping, kneeling, balancing, and foot controls. Moderate strength demands include constantly exerting up to 10 pounds, frequently exerting up to 20 pounds, and occasionally exerting 20-50 pounds.

Mental Demands:

Constantly requires performing multiple tasks simultaneously, working an irregular schedule/overtime, and working closely with others as part of a team.
