The Recruiting Assistant will play a crucial role in supporting the recruitment and integration of lateral partners and of counsel under the direction of the Director, Partner Growth and Manager, Legal Integration. This position requires a highly organized and detail-oriented individual with excellent communication skills and the ability to work effectively in a team-oriented, collaborative environment. Key Responsibilities
Recruiting
-
Support strategic and opportunistic recruitment of partners and of counsel, including individuals and groups.
-
Support our relationship with search firm partners, including process management and tracking of partner search firm agreements.
-
Draft and assist in updating recruitment plans.
-
Coordinate interview schedules for partner and of counsel candidates.
-
Manage candidate travel arrangements.
-
Coordinate meeting scheduling, reimbursement requests, and other support as needed.
-
Collect and review interview feedback and evaluations.
-
Manage candidate information using applicant tracking systems (viRecruit), iManage, OneNote, and other tools.
-
Track and monitor due diligence items such as lateral partner questionnaires, , conflict checks, and background checks.

Assist with search firm road shows and manage search firm gifting.
Integration
-
Support onboarding and integration of lateral attorneys, including individuals and groups.
-
Prepare, distribute and maintain orientation schedules, including scheduling updates as needed.

Assist with maintenance, updates and distribution of documents and processes related to the pre-arrival, onboarding and integration of partners and of counsel.

Manage and execute onboarding and integration tasks as assigned using viRecruit, viIntegration, iManage, OneNote and other tools.

Assist with coordinating lateral attorney inter-office travel with the Manager, Legal Integration.

Track, monitor and update record maintenance of laterals during their integration period.

Assist the Manager, Legal Integration in the development and implementation of integration programs and initiatives.
Additional Responsibilities

Collaborate with Practice Groups, Finance, Human Resources, Information Technology, Talent, Marketing & Business Development, Conflicts and other departments.

Maintain day-to-day engagement and responsibility across various projects to ensure materials, correspondence, meetings and other logistics are executed professionally.

Perform data entry, database auditing, and reporting (regular and ad-hoc).

Manage inventory, ordering and distribution of firm promotional recruiting materials and supplies, as assigned.

Continuously learn and enhance the use of recruitment and technology tools to improve effectiveness and add value.

Collaborate with others in the firm to continually enhance recruiting and integration efforts and improve candidate and internal stakeholder experience.
-
Ensure consistent implementation of firm policies and procedures.

Handle expense and budgeting tasks such as payment processing, reimbursement requests, budget tracking and updates, credit card reconciliation and expense review.

Perform other administrative tasks as needed to support the Partner Growth and Integration team.

Participate in special projects as needed.

Perform other duties as assigned.

Prior law firm experience helpful but not required.

Quarles & Brady offers competitive salaries, bonus and great benefits to employees including paid time off, health, vision, dental, 401k, life, disability and much more. Benefit eligibility is dependent on hours. Compensation is determined upon the market in which the position is located, the responsibilities of the position, the experience, education and skills of the applicant, and other job-related factors. The range for this position for individuals physically located in Chicago is $21.63–$26.44/hour.
