The Role

The Specialist – Recruitment Administration role provides efficient and flexible administrative support to the recruitment process as part of the recruitment administration team. To act as the main point of contact for all queries relating to the support function of the account.

Key Accountabilities

What you’ll be doing:

• Oversee account-specific administration activities for the following scope of services: job posting, interview scheduling, help desk support, pre-employment screening or reference checks initiations or verifications, candidate care, offer management, onboarding, off boarding, invoice administration, applicant tracking system updates, and requisition management
• Managing various ad-hoc administration activities to support the effective running of the recruitment process e.g., updating Operations Manual or other process documentation
• Completing reports and trackers accurately and to deadlines
• Create, process, and manage offers across multiple talent segments, including Campus Hires, Early Careers, Mid-Career Professionals and Executive Hires
• Building and maintaining strong working relationships between all parties including recruiters, hiring managers, vendors, and other account stakeholders
• Ensuring stakeholders and colleagues are continually appraised and updated on the relevant processes, including changes, providing first-line support for managing and resolving escalations
• Overseeing work allocation and reviewing accuracy of output for other (Senior) Recruitment Coordinators
• Fully utilizes technology and other rollouts and changes implemented to the team
• Review and manage requirements relating to visas, relocation support, sign-on bonuses, and payroll coordination.
• Support pre-boarding activities and ensure new joiners are fully prepared for their start date.
• Conduct quality checks and audits to ensure onboarding processes are completed successfully.
• Prioritise and manage multiple cases simultaneously while maintaining exceptional attention to detail.

Skills & Requirements

You’ll need to have:

• • Prior recruitment administration experience within banking/finance or professional services environment is a must.
  • Working knowledge of Microsoft Office applications, including Outlook, Word, and Excel.
  • Strong organizational skills and exceptional attention to detail.
  • The ability to work independently and effectively manage competing priorities.
  • The ability to thrive in a fast-paced and evolving environment.
  • Resilience and the ability to adapt to changing priorities and feedback.
  • A customer-focused approach, with strong communication and stakeholder management skills.
  • Experience managing multiple tasks while maintaining accurate records.
  • A proactive and solutions-oriented mindset, with the ability to work with minimal supervision.

• We are committed to pay transparency and fairness. For this role, the initial expected remuneration is $50,000 to $65,000 plus applicable benefits.

This range is specific to the advertised locations and may not be applicable to other locations.
