Regional Real Estate Portfolio Manager
Role Overview
As the Real Estate Portfolio Manager, you are responsible for managing a multi-state, high-volume retail lease portfolio (300+ stores) with a primary focus on occupancy cost reduction, risk mitigation, and lease optimization. This role operates as a strategic business partner while remaining deeply involved in high-volume transactional execution. Success requires advanced negotiation capability, strong judgment, and the ability to navigate complex lease matters, system limitations, and competing priorities across a dense and active store portfolio.

Daily collaboration with Operations, Facilities, Finance, Accounting, Lease Administration, Legal, and Real Estate Managers
Key Responsibilities
Portfolio & Lease Management
-
Independently manage critical lease dates across a high-volume, multi-state store portfolio, including expirations, options, kick-outs, and notice requirements

Own and execute kick-out calendars and lease obligations to ensure timely and strategic portfolio actions
-
Proactively identify underperforming locations and pursue rent relief, amendments, early terminations, or kick-outs
-
Partner closely with Lease Administration to validate lease data, resolve discrepancies, and ensure accuracy despite system constraints
Landlord Negotiation & Cost Optimization
-
Lead direct negotiations with landlords to secure rent reductions, concessions, lease restructures, and early terminations across a large and varied landlord base
-
Manage frequent and sometimes contentious landlord interactions while maintaining professionalism and long-term credibility

Manage landlord requests for consents, waivers, and approvals while securing appropriate financial or contractual consideration
-
Partner with outside counsel to draft, review, and finalize lease amendments, terminations, and related agreements
-
Balance firm negotiation with long-term relationship management across a large and varied landlord base
-
Oversee and support the resolution of legal disputes and lawsuits related to the lease portfolio
Financial & Cross-Functional Partnership

Serve as a subject matter expert on lease interpretation, supporting Finance and Accounting with billing disputes, reconciliations, and rent discrepancies

Monitor landlord compliance and enforce lease rights that result in rent relief or financial recovery
-
Translate complex lease language and real estate decisions into clear financial, operational, and risk impacts for internal partners

Coordinate across multiple teams simultaneously to resolve issues and keep transactions moving
Leveraging AI
-
Leverage AI‑assisted lease analysis tools to identify critical dates, notice requirements, and key clauses across a high‑volume lease portfolio.

Apply predictive insights to highlight negotiation leverage points, including lease exposure, renewal risk, and landlord concentration.

Employ AI‑enabled task‑prioritization and workflow tools to efficiently manage a high volume of concurrent lease actions.
Market & Portfolio Analysis

Utilize GIS, market analytics, and sales performance data to evaluate trade areas, cannibalization risk, and portfolio health
-
Apply analytical judgment to assess risk, timing, and opportunity across a geographically dispersed store base
Operational Execution & Autonomy
-
Independently prioritize workload and negotiation strategies within approved financial and legal parameters
-
Manage a high volume of concurrent initiatives, negotiations, legal matters, and internal requests with minimal day to day direction
-
Maintain exceptional attention to detail while operating with urgency in an environment of frequent deadlines and changing priorities
Travel & Field Engagement
-
Travel to landlord meetings, conferences, tradeshows, stores, corporate office, etc. (Less than 10%)
Measures of Success

Demonstrated occupancy cost reduction and improved lease economics across the portfolio

Timely execution of lease actions including kick-outs, renewals, amendments, and terminations

Reduction of lease-related financial and operational risk exposure

Accuracy of lease data and financial outcomes, despite system limitations

Strong partnership and credibility with internal stakeholders
Qualifications
-
Bachelor’s degree preferred or equivalent professional experience
-
Retail or multi-unit commercial real estate experience strongly preferred
-
Proven experience managing large-scale, multi-site retail or commercial lease portfolios
-
Demonstrated success negotiating rent reductions, lease restructurings, and early terminations
-
Strong organizational and prioritization skills with the ability to manage competing deadlines
-
Proficiency in Microsoft Outlook, Word, Excel, and lease administration systems

Proficient with AI tools, preferred

Strong written and verbal communication skills
