ESSENTIAL FUNCTIONS, PRIMARY RESPONSIBILITIES AND OBJECTIVES:

The Registration and Records Coordinator for Certificate and Specialty Programs (“Coordinator”) is primarily responsible for providing database management and oversight to support the processing and maintenance of Certificate and Specialty Program student records. The Coordinator works closely with Continuing Education on implementation and cataloging of programs, building courses and schedules, and processing and maintaining transcripts. Provides other administrative support to the Registrar’s department as required.

This position is visible to the College community at all levels and routinely interacts with all constituent groups of the College.

The Registration and Records Coordinator for Certificate and Specialty Programs reports to the Registrar for Lackawanna College.

This is an onsite position with the primary work location in Scranton, Pennsylvania.


ESSENTIAL FUNCTIONS:

  • Works closely with Continuing Education on processes surrounding new program and course implementation, course scheduling, and NSC transcript processing.
  • Resolves customer service issues with transcript requests processed through the National Student Clearinghouse and provides guidance to students to ensure accurate and efficient delivery of requests. Escalates technological issues to the Associate Registrar as needed.
  • Responsible for the registration and maintenance of academic records; provides general advice and assistance to students concerning certificate registration procedures and policies.
  • Maintains Certificate program information within Jenzabar Catalog Master and is responsible for annual revisions to the Continuing Education and College Catalog. Updates departments of changes to programs that need to be reflected in JRM and the website.
  • Manages electronic scanning preparation, maintenance, storage and retrieval of accurate student records; processes student registrations, withdrawals, drop/adds, change of majors/degrees and change of address.
  • Serves as the point of contact person for certificate program for administrative processing functions related to student transcripts and registrations and mandated enrollment reporting through the National Student Clearinghouse.
  • Investigates issues pertaining particularly to certificate program records and is responsible for the maintenance and integrity of historical records and transcripts for students who attended Lackawanna College prior to 2006.
  • Processes internal and external records requests for certificate programs and archived transcripts for students, and maintains reports for tracking such requests.
  • Responsible for processing incoming transfer student transcripts, enters and tracks transfer credits, and verifies transcripts for accuracy and validity. Processes written correspondence with respect to transcript evaluation for all College locations.
  • Evaluates course credit transfers, records credits accepted from other institutions and serves as the point of contact for students who have questions about transfer credits. Maintains and assesses reports related to the transfer credit process.
  • Ensures staff at all locations are properly trained on certificate program registrations and processes to enhance data integrity.
  • Works closely with the Graduation Clearance Coordinator to evaluate degree and certificate requirements needed by students for graduation; advises and communicates with students to ensure all requirements for graduation are met and unanticipated problems are resolved. Assists with final graduation processing and commencement ceremony preparation.
  • Responsible for building course schedules with specific focus on the certificate programs and specialty programs; registration and grade entry.
  • Performs customer service and clerical duties, including but not limited to data entry, proofs schedules each semester, notifies students of cancellations, provides faculty, staff and students with information on course offerings and status, maintains procedural manuals, inventories and orders office supplies.
  • Maintains knowledge of and upholds college policies, standards, and regulations (FERPA and other government regulations) and review and revision of departmental procedures.
  • Cross-train in all departmental functions.
  • Responsible for mission project initiatives (for example The Rocket Project).
  • Works during high impact periods, which include, but are not limited to: orientations, first two weeks of the semester, last two weeks of the semester prior to finals, advising periods, and Commencement(s).
  • Other duties and responsibilities, as assigned.

  • Available during peak periods of the year to meet strict deadlines and high service volume.
  • Ability to maintain strict confidentiality.

EDUCATION:

  • Associate Degree required, Bachelor’s Degree preferred.

EXPERIENCE:

  • 1-2 years of experience in higher education preferred, preferable in Registrar’s office.

PHYSICAL AND MENTAL DEMANDS:

  • Sitting for extended periods of time with regular use of the computer and phone for most aspects of the job duties.
  • Involves frequent contact with members of the College community, alumni, and external community.
  • Ability to work in a fast-paced environment, managing multiple high-priority items.
