Role Overview
The Reservations Executive is responsible for managing day-to-day booking requests and ensuring all reservations are processed accurately and efficiently. This role serves as a key support function to the Reservations Supervisor and Operations team, ensuring that client requests are handled promptly, trip details are correctly recorded, and service delivery is executed to company standards. A background in limousine service reservations is essential for this position.
Key Responsibilities
- Handle daily reservations received via phone, email, online platforms, and WhatsApp, ensuring all details are captured accurately.
- Coordinate with the Operations and Chauffeur teams to confirm vehicle and chauffeur availability for every booking.
- Update and maintain all reservation entries in the system, ensuring accuracy and completeness at all times.
- Communicate with clients professionally to confirm bookings, clarify requirements, and address basic queries.
- Assist in managing last-minute changes, cancellations, and special requests promptly.
- Support the Reservations Supervisor in preparing daily booking lists and operational schedules.
- Maintain strong communication with corporate clients, hotel concierges, and partners to ensure smooth coordination.
- Ensure proper handling of VIP requests and sensitive client information.
- Follow established reservation procedures to maintain consistency and service quality.
- Report any discrepancies, system issues, or operational conflicts to the Reservations Supervisor immediately.
- Assist in generating basic reservation reports when required.
- Participate in training sessions to stay updated on reservation procedures, system updates, and company standards.
- Ensure compliance with company policies, safety guidelines, and data protection regulations.
Qualifications & Skills
- Minimum 1–2 years of experience in reservations, customer service, or booking coordination, preferably within a limousine or hospitality environment.
- Strong communication skills, both written and verbal.
- Proficiency in reservation systems and Microsoft Office; experience with LimoAnywhere is an advantage.
- Ability to manage multiple bookings simultaneously with high accuracy.
- Strong attention to detail and a customer-focused approach.
- Ability to work under pressure and adapt to fast-paced operational demands.
