This position is primarily responsible for promptly managing and entering all donor and gift data, making necessary corrections and adjustments within the donor database to accurately track data and engage donors. This role acts as a key liaison, collaborating closely with members of the United Way team.

The ideal candidate has a passion for data and a solid understanding of database management. They should be able to communicate effectively across departments, handle confidential information responsibly, and uphold high standards of accuracy and efficiency. The candidate will show enthusiasm for working in a cross-functional role and supporting the organization by troubleshooting issues and developing solutions for gift processing and donor stewardship. Additionally, the candidate recognizes the importance of maintaining accurate records in donor stewardship, reconciling the organization’s finances, and ensuring the overall health of the organization.

Core Responsibilities:

  • Maintain agency donor database (Raiser’s Edge),
  • Update the database with information collected from multiple sources.
  • Produce letters, pledge cards, and envelopes for a direct mail campaign.
  • Enter all workplace and individual gifts, including United Way Foundation (UWF) cash and pledges, into the database and process acknowledgement letters on a timely basis.
  • Oversee the maintenance of the database beyond annual donors (elected officials, volunteers, new home sales, deceased and inactive records, etc.)
  • Return mail entry into the database and low-level data entry or clean up within Raiser's Edge
  • Work in conjunction with other team members to develop a strategic, comprehensive annual operational timeline to maximize resources, support effective resource development efforts for UWIRC and UWF, and avoid scheduling conflicts.
  • Support donor engagement efforts: sending birthday and thank you cards, creating certificates
  • Maintain (update, research, and correct) membership rosters of committees, funded, and community partners
  • Support events by managing RSVPs and maintaining registrations
  • Pull reports as needed
  • Perform regular cleaning of data

Executive and Board Support

  • Assist CEO with UWIRC & UWF Board meetings: set up recorders and prepare monthly minutes
  • Disseminate meeting reminders and materials for Board meetings
  • Manage technology during Board meetings (Zoom, Dropbox, Otter, etc.)
  • Coordinate lunches: order or purchase food & drinks, set up buffet
  • Attendance at UWIRC staff meetings, UWIRC and UWF Board meetings
  • Support key events as appropriate.

MINIMUM JOB REQUIREMENTS:

Education:

  • Bachelor’s degree is preferred, or equivalent combination of training and experience.

Experience and Skills:

  • 2 to 4 years of experience in an equivalent position.
  • Working donor management systems – importing/exporting data, creating donor records, generating reports, etc.
  • Proficient in Microsoft Office, especially Excel—using functions and formulas, creating pivot tables, developing conditional formatting rules, and merging data.
  • Commitment to best practices in fundraising administration.
  • Exceptional organizational, time management, and analytical skills.
  • Proven ability to manage and prioritize multiple tasks to meet deadlines.
  • Professional demeanor, ability to work independently, with sound judgment and discretion in managing confidential donor and campaign information.
  • Ability to learn other applications, including Raisers Edge software.
  • Must have a valid driver’s license and reliable transportation.

Physical Requirements:

With or without reasonable accommodation, employees in this position must be able to sit and type at a computer terminal for up to 8 hours per day with appropriate breaks and perform tasks that require fine dexterity and repetitive motions using the arms, hands, wrists, and fingers. Some functions require standing and sitting for extended periods of time. Lifting may be necessary at times. Must be able to stoop, bend, and lift on a frequent basis. Pay: $43,366.68 - $52,226.53 per year
