Retail Admin Officer

Job Description – Admin Officer (Retail Operations)

Position: Admin Officer – Retail
Department: Retail Operations / Administration
Location: Islamabad / Rawalpindi (Frequent travel to outstation stores required)
Reports To: Retail Operations Manager / Head of Admin

Job Summary

We are looking for a proactive and highly organized Admin Officer – Retail to manage and oversee administrative operations for retail stores, including branches located outside the city. The role requires regular coordination with store teams, vendors, landlords, and head office departments to ensure smooth operational support, compliance, maintenance, and documentation across all locations.

The ideal candidate should be comfortable with frequent travel, store visits, problem-solving, and handling on-ground operational challenges.

Key Responsibilities1. Store Administration Management

  • Ensure smooth administrative operations across all retail outlets.
  • Conduct regular store visits, including outstation branches, to assess administrative compliance and operational efficiency.
  • Monitor store hygiene, maintenance, safety, and housekeeping standards.
  • Ensure all branches follow company SOPs and policies.

2. Outstation Store Coordination

  • Act as the primary administrative point of contact for outstation stores.
  • Coordinate with branch staff regarding operational requirements, maintenance issues, utilities, and vendor concerns.
  • Manage travel schedules for store visits and audits.
  • Support store setup, relocations, and new branch openings.

3. Vendor & Facility Management

  • Coordinate with vendors for maintenance, repairs, pest control, security, internet, and utilities.
  • Negotiate with suppliers/service providers for cost-effective solutions.
  • Ensure timely resolution of facility issues at all locations.

4. Asset & Inventory Management

  • Maintain records of store assets, furniture, fixtures, IT equipment, and administrative supplies.
  • Track issuance, transfer, and maintenance of company assets.
  • Conduct periodic audits of store administrative inventory.

5. Documentation & Compliance

  • Maintain lease agreements, utility records, NOCs, licenses, and store-related documentation.
  • Ensure stores comply with local regulations, safety requirements, and documentation standards.
  • Prepare administrative reports and audit findings.

6. Utility & Expense Monitoring

  • Monitor electricity, gas, internet, and other utility expenses.
  • Coordinate bill payments and ensure uninterrupted services.
  • Report unusual utility consumption or operational concerns.

7. Event & Logistics Support

  • Support retail campaigns, in-store events, promotional setups, and logistics arrangements.
  • Coordinate transportation or dispatch requirements for stores when needed.

Required Qualifications

  • Bachelor’s degree in Business Administration, Management, or related field.
  • 2–4 years of experience in administration, preferably in retail or multi-branch operations.
  • Experience handling multiple locations or field administration is preferred.

  • Strong coordination and problem-solving skills
  • Excellent communication and reporting skills
  • Vendor management and negotiation abilities
  • MS Office proficiency (Excel, Word, PowerPoint)
  • Documentation and record-keeping expertise
  • Ability to work independently under pressure

Additional Requirements

  • Willingness to travel frequently to outstation stores.
  • Must have own conveyance and valid driving license (preferred).
  • Flexible working hours based on operational requirements.

Pay: Rs50,000.00 - Rs70,000.00 per month
