The RFP Specialist plays an important role in securing new business and expanding
strategic client relationships by leading the end-to-end response process for Requests
for Proposals (RFPs), RFIs, RFQs, and enterprise vendor questionnaires. This role
transforms complex technical, product, legal, security, and commercial inputs into clear,
compelling, and compliant submissions that position KnowledgeCity as the strongest
and most credible solution. The position directly supports revenue growth, enterprise
deal velocity, and entry into regulated and large-scale markets.
Position Overview:
The RFP Specialist owns the full lifecycle of RFP and tender responses, from
opportunity qualification and timeline planning through submission and post-submission
follow-up. This role works cross-functionally with Sales, Product, Content, Legal,
Security, Finance, Customer Success, and Leadership to gather accurate information,
ensure compliance with requirements, and deliver high-quality, on-time proposals.
Responsibilities:

  • Lead the end-to-end RFP, RFI, RFQ, and vendor questionnaire response

process, including timeline creation, requirements analysis, response planning,
stakeholder coordination, and final submission.

  • Analyze bid requirements, evaluation criteria, and compliance matrices to

determine win strategy, required inputs, and submission approach.

  • Partner with Sales to assess opportunity fit, define response strategy, and align

proposals with client business goals and procurement priorities.• Coordinate cross-functional inputs from Product, Engineering, Content, Security,
Legal, Finance, and Customer Success to ensure accuracy, completeness, and
consistency.

  • Translate technical, product, and service capabilities into clear, benefit-driven

responses tailored to the client’s industry and use case.

  • Develop and maintain a structured RFP content library, including reusable

answers, case studies, certifications, product documentation, security responses,
and standard company information.

  • Ensure all submissions meet formatting, compliance, legal, and deadline

requirements.

  • Manage proposal version control, approval workflows, and final packaging for

submission portals and procurement systems.

  • Continuously improve response processes, templates, and workflows to increase

efficiency and scalability.

  • Track RFP outcomes, win/loss insights, and response performance metrics to

refine future strategy.

  • Support creation of standard company credential documents, capability

statements, and tender submission assets.
Required Experience and Skills:

  • 3–6+ years of experience in RFP/tender management, proposal management,

bid management, or a similar role in a SaaS, technology, or e-learning
environment.

  • Strong experience responding to enterprise RFPs, government tenders, or

regulated industry procurement processes.

  • Exceptional writing, editing, and information structuring skills with the ability to

translate complex inputs into clear, persuasive responses.

  • Proven ability to manage multiple concurrent submissions under strict deadlines.
  • Experience building and maintaining a reusable proposal content library.
  • Strong project management and stakeholder coordination skills.
  • High attention to detail and strong compliance mindset.
  • Familiarity with security, legal, and technical questionnaires (SOC 2, ISO 27001,

data privacy, integrations, hosting, etc.).

  • Proficiency in working with cross-functional subject matter experts to extract

accurate information quickly.

  • Experience with proposal management tools, content management systems, and

collaboration platforms is a plus.

  • Excellent organizational, documentation, and communication skills.
