Office Revolution is seeking a highly organized, detail-oriented RFP Specialist to lead the end-to-end development and submission of all RFPs across the organization. This role is responsible for managing the full RFP lifecycle—from intake through final submission—ensuring accuracy, brand consistency, and a high level of strategic and visual quality in every response.
In addition to RFP ownership, this role supports the Business Development team with client presentations, pricing coordination, marketing materials, and sales enablement tools. The ideal candidate is proactive, highly collaborative, and able to manage multiple fast-moving deadlines while maintaining precision and professionalism.
Job Responsibilities
Own The RFP Process From Start to Finish
- Manage all aspects of the RFP process from receipt through final submission, including small to mid-sized pursuits and assigned larger proposals.
- Evaluate RFP feasibility, compliance requirements, and provide Go/No-Go decision support in partnership with BD leadership.
- Review RFPs in detail, identifying requirements such as deadlines, submission instructions, evaluation criteria, scope, and special documentation needs.
- Lead internal kickoff and coordination meetings to assign responsibilities, establish timelines, and align on strategy.
- Partner with BD and design teams to develop win strategies and tailored response approaches based on client needs.
- Ensure all submissions are complete, accurate, and fully aligned with RFP requirements through detailed cross-checking and quality control.
- Create and maintain the responsibility matrix for each pursuit, assigning tasks, monitoring progress, and ensuring all team members meet deadlines.
- Act as a “referee” across pursuit teams, holding senior stakeholders accountable and managing last-minute changes or unnecessary data submissions.
Develop High-Quality, Client-Facing Proposals
- Assemble and tailor RFP responses using approved marketing materials, ensuring brand consistency and professional presentation.
- Integrate project-specific content including bios, references, imagery, renderings, and tailored messaging.
- Input and validate pricing within Excel or client-provided bid forms.
- Translate technical specifications (including CAP data) into clear, accurate proposal and bid documentation.
- Manage the end-to-end rendering process and final proposal deck production for all pursuits.
- Own and update RFP and image book templates to ensure consistency across proposals.
Coordinate Across Teams And Drive Accuracy
- Proactively communicate with internal teams to gather required information, content, and approvals.
- Verify design specifications and ensure alignment with RFP requirements.
- Assist in validating furniture counts and reviewing floor plans from architects when needed.
- Collaborate with vendors to obtain pricing, product details, and supporting documentation as required.
- Serve as a central resource for the company, assisting team members in locating SharePoint assets such as photos, renderings, templates, and past RFP decks.
Support Marketing & Sales Enablement
- Assist in the development of client presentations, image books, and PowerPoint decks.
- Maintain and evolve sales tools and templates used across the BD team.
- Support ad hoc marketing initiatives and content development requests.
- Collaborate with team members to develop client-specific marketing strategies and materials.
- Write new case studies and collaborate with marketing on photography, editing, and publishing.
- Create blog posts and other social media content, including interviews with industry experts.
- Manage location-specific and vendor-aligned collateral such as $/SF decks and marketing decks.
Manage Content & Resource Libraries
- Own and maintain Office Revolution’s marketing and resource libraries (Y Drive / SharePoint), including the image library, rendering library, and installation photography.
- Source and update content using internal and external platforms (e.g., vendor portals such as Teknion Hub).
- Ensure all resources are organized, current, and easily accessible to internal teams.
Drive Process Efficiency & Consistency
- Continuously improve RFP workflows, templates, and internal processes.
- Ensure compliance with brand standards, formatting guidelines, and internal policies.
- Manage multiple deadlines and shifting priorities in a fast-paced environment.
- Identify gaps, risks, or inconsistencies in RFP submissions and proactively resolve them.
Qualifications
- Bachelor’s degree or equivalent experience required.
- 1+ year of experience in contract furniture, interior design, architecture, or related industry strongly preferred.
- Strong understanding of contract furniture products, specifications, and manufacturing processes is a plus.
- Proficiency in Microsoft Office Suite (especially Excel and PowerPoint); Adobe Creative Suite experience preferred.
- Experience with AutoCAD, SketchUp, and CAP systems is a plus.
- Strong written, verbal, editing, and proofreading skills with high attention to detail.
- Highly organized with the ability to manage multiple projects and tight deadlines simultaneously.
- Ability to think strategically, analytically, and creatively under pressure.
- Strong interpersonal skills with the ability to collaborate across teams and influence stakeholders.
- Basic understanding of financial concepts, including pricing structures and discount calculations.
- Self-starter who is proactive, resourceful, and comfortable working independently or in a team environment.
