ob Summary
The Sales Administration Officer will provide administrative and coordination support to the sales team to ensure smooth day-to-day operations. The role involves handling sales documentation, maintaining records, coordinating with internal departments, and supporting customer delivery processes in line with company policies and automobile industry standards.
Key Responsibilities
- Prepare and manage all sales documentation including booking forms, invoices, delivery notes, and customer records
- Maintain accurate sales reports, daily bookings, deliveries, and targets in Excel or ERP systems
- Coordinate with finance, registration, insurance, and logistics departments for timely vehicle delivery
- Ensure all customer files are complete, accurate, and compliant with company and legal requirements
- Support sales consultants with quotations, pricing approvals, and promotions
- Maintain updated records of vehicle stock, variants, colors, and delivery status
- Handle customer follow-ups related to documentation, delivery schedules, and post-sale formalities
- Assist in monthly, quarterly, and annual sales reporting
- Ensure compliance with company policies, audit requirements, and dealership SOPs
- Maintain proper filing (soft & hard copies) for easy retrieval during audits
Required Skills & Competencies
- Strong administrative and coordination skills
- Proficiency in MS Excel, Word, and basic ERP/CRM systems
- Good communication and interpersonal skills
- Ability to work under pressure and meet deadlines
- High attention to detail and accuracy
- Understanding of automobile sales processes (booking to delivery)
Qualifications & Experience
- Bachelor’s degree in Business Administration or related field (preferred)
- 1–3 years of experience in sales administration, preferably in the automobile industry
- Experience working in a dealership environment will be an added advantage
