Duties
- Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
- Handle multi-line phone systems efficiently, screening calls and taking detailed messages for sales staff.
- Support sales team with data entry, maintaining accurate records in CRM systems and other databases.
- Assist with calendar management and scheduling appointments for sales representatives and clients.
- Prepare, proofread, and organize sales documents, proposals, and correspondence using Microsoft Office and Google Workspace tools.
- Coordinate office supplies, filing systems, and document organization to ensure an efficient work environment.
- Provide exceptional customer service by responding promptly to inquiries via phone or email, supporting customer support efforts.
- Perform clerical tasks such as filing, photocopying, and managing incoming/outgoing mail to streamline office operations.
- Support bookkeeping activities using QuickBooks or similar accounting software as needed.
- Maintain professionalism at the front desk, ensuring a welcoming environment for visitors and clients.
Qualifications
- Proven experience in office management, clerical work, or administrative support within a busy environment.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced setting.
- Demonstrated experience using multi-line phone systems and handling front desk responsibilities.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Previous experience in customer service or customer support roles is preferred.
- Knowledge of QuickBooks or bookkeeping experience is a plus.
- Strong attention to detail with proofreading skills to ensure accuracy in all documents.
- Ability to manage time efficiently and prioritize tasks independently while maintaining professionalism at all times.
