Sales and Business Coordinator

Job Summary

The Sales & Business Coordinator is responsible for supporting sales and business development activities related to manpower supply and contracting services. This role involves coordinating client requirements, preparing commercial proposals, managing workforce-related documentation, and ensuring smooth communication between clients, operations, and recruitment teams to meet project demands efficiently.

Key Responsibilities Sales & Client Coordination

  • Prepare and submit manpower supply quotations, service proposals, and contracts
  • Coordinate with clients to understand manpower requirements (skilled, semi-skilled, unskilled categories)
  • Follow up on inquiries, negotiations, and contract finalization
  • Maintain strong relationships with existing clients to secure repeat business
  • Track contract status, mobilization schedules, and renewals

Business Development Support

  • Assist in identifying new business opportunities in construction, industrial, and facility management sectors
  • Support in tender documentation, prequalification submissions, and vendor registrations
  • Coordinate client meetings, site visits, and presentations
  • Maintain a database of prospective clients and ongoing projects

Operations & Workforce Coordination

  • Liaise with recruitment and operations teams for timely mobilization and demobilization of manpower
  • Coordinate deployment schedules, site allocations, and workforce requirements
  • Ensure all employee documentation (Iqama, medical, certifications) is valid before deployment
  • Monitor attendance, timesheets, and workforce performance reports

Documentation & Compliance

  • Prepare contracts, agreements, and service level documents as per client requirements
  • Ensure compliance with Saudi labor laws and client policies
  • Maintain proper records of employees, contracts, invoices, and client communications
  • Assist in handling client audits and documentation checks

Billing & Reporting

  • Coordinate with finance for invoice preparation based on approved timesheets
  • Verify timesheets, overtime, and billing details before submission
  • Track payments, pending invoices, and follow up with clients when required
  • Generate regular reports on sales, manpower deployment, and revenue

Client Relationship Management

  • Act as the main point of contact for client coordination and issue resolution
  • Address workforce-related concerns raised by clients promptly
  • Ensure high client satisfaction and service quality

Qualifications & Skills

  • Bachelor’s degree in Business Administration, Marketing, or related field
  • 2–5 years of experience in manpower supply, contracting, or similar industry
  • Strong understanding of manpower operations and site requirements
  • Knowledge of Saudi labor laws and workforce compliance (preferred)
  • Proficiency in MS Office (especially Excel for timesheets & billing)
  • Excellent communication, coordination, and negotiation skills
