The Sales and Operations Executive is a pivotal role responsible for managing the end-to-end cycle of sales orders, from initial customer inquiry and quotation preparation to final delivery and vendor management. This role requires a dynamic individual with strong communication skills who can seamlessly bridge the gap between sales, customer service, and logistical execution.
Key Responsibilities
1. Sales and Customer Handling
- Customer Relationship Management: Serve as the primary point of contact for customers, handling all inquiries, providing timely updates, and addressing concerns to ensure high levels of customer satisfaction.
- Quotation Preparation: Accurately and promptly prepare and send detailed quotations to clients based on their specifications, ensuring all pricing, terms, and conditions are clearly outlined.
- Order Processing: Manage the entire sales order lifecycle, including order entry, confirmation, and internal coordination to meet delivery timelines.
2. Operations and Logistics Management
- Vendor and Supplier Coordination: Actively deal with vendors and suppliers for sourcing, procurement, and scheduling, ensuring timely delivery of materials or services.
- Logistics Handling: Coordinate and manage all logistical aspects of the shipment, including working with transporters, managing dispatch schedules, and tracking orders until successful delivery.
- Inventory/Stock Management: [Optional: Include if applicable, e.g., Monitor and manage stock levels to ensure product availability and minimize delays.]
3. Documentation and Administrative Tasks
- Basic Documentation: Maintain and manage essential sales and operations records.
- Software Proficiency: Utilize MS Excel for data entry, preparing sales reports, tracking inventory, and managing cost sheets.
- Correspondence: Use MS Word to draft professional correspondence, contracts, and internal memos.
Required Skills and Qualifications
- Communication Excellence: Excellent communication skills (both written and verbal) in English are essential for dealing effectively with global customers and vendors.
- Interpersonal Skills: Proven ability to handle customers professionally and effectively, building and maintaining strong business relationships.
- Technical Basics: Basic working knowledge of MS Excel and MS Word is mandatory.
- Organizational Skills: Strong ability to manage multiple tasks, prioritize work, and handle the complexities of logistics and vendor scheduling.
- Experience: Fresher, or 1-2 year of experience
- Education: Bachelor’s degree in any field
