  • To answer telephones and take messages for the sales department courteously and professionally
  • To be proficient in typing skills so any correspondence (proposals, contracts, form letters, internal forms, etc.) on a typewriter or computer can be performed as needed.
  • To proofread all correspondence prior to being given manager for signature.
  • To learn new methods of using the computer and assisting other personnel in its upkeep and maintenance.
  • To process all mass and special mailings.
  • To maintain reader file for assigned managers. At the end of the month complete reader files should go to the Director of Sales& Marketing for review, then be placed in permanent monthly reader file.
  • To maintain all sales files properly.
  • To ensure that all information regarding each group is sent to the proper department on schedule in order to facilitate the proper handling of the group.
  • To work with Sales staff on managing all group room commitments.
  • To advise managers when work assigned cannot be returned within a 24 hour period.
  • To maintain a friendly, caring and helpful attitude with clients, as well as all Hotel personnel.
  • To assist the customer in the absence of the Sales Managers and Director of Sales.
  • To open and handle the incoming mail as requested by supervisors.
  • To maintain the sales office in a neat and orderly manner in accordance with established guidelines and standards.
  • To assist in the preparation of reports as required by the Director of Sales.
  • To perform duties in a timely manner.
  • To keep informed as to both the daily hotel activities and any specific hotel promotions, and be aware of and ready to assist in any special projects assigned to the Sales Department.
