Duties and Responsibilities

  • To Handle all incoming and outgoing correspondence.
  • To Handle the administrative needs of the Meetings & Events Department.
  • To Answer telephone calls and handle enquiries professionally.
  • To maintain the departmental filing system.
  • To Attend weekly Sales & Marketing meetings if required and prepare minutes.
  • To respond and coordinate all internal meeting requests.
  • To ensure all site inspections and client visits to the hotel are successful by planning carefully and communicating accurate details in advance to all departments.
  • To coordinate pre-conference & post conference meetings.
  • To attend all business-critical meetings to include BEO, Group Resume etc.
  • To arrange appointments and meetings for the department.
  • To handle expense reports.
  • To prepare, send and follow up all work orders, purchase requisitions and other relevant forms.
  • To keep mailing list up to date.
  • To maintain par stock of office supplies.
  • To keep trace-file up to date.
  • To be responsible for and accountable for the departmental operating budget.
  • To liaise with other departments and guests as required.
  • To perform any other reasonable duties as required by the department head.
