The Sales & Events Administrative Assistant supports the sales team by handling a variety of administrative functions including, but not limited to, answering phones, making copies, mail distribution, fielding sales inquiries, assisting with reservations and property tours, drafting contracts and proposals, and managing staff calendars. The Sales & Events Administrative Assistant will prepare, update, and distribute information for client events and serve as a liaison between client and respective sales and event managers.
QUALIFICATIONS & SKILLS
- Full-Time with availability for day shifts, Monday-Friday.
- One year’s experience working in a support role at a branded hotel preferred. Knowledge of hotel event operations and property management systems.
- Working knowledge of computer applications, including Outlook, Word, Excel.
- A true desire to satisfy the needs of others in a fast-paced environment.
- Strong analytical, organizational, and interpersonal skills.
- Refined verbal communication skills.
- Friendly, outgoing personality.
- Detailed oriented, deadline driven, organized individual able to handle multiple tasks while working in a team environment.
- Ability to type with speed and accuracy.
- Prior hotel or administrative experience preferred.
ESSENTIAL JOB FUNCTIONS
- Perform a wide variety of administrative assignments.
- Interact with clients and provide assistance. Approach guest encounters in a friendly, service-oriented manner. Take an active role in understanding and anticipating guest needs to provide authentic and personalized service.
- Operate a computer to enter data, draft, edit, revise and print letters, reports and other business documents.
- Operate copier, fax and other office equipment.
- Greet and direct visitors and answer, screen and route phone calls.
- Sort, screen, and distribute incoming mail.
- Resolve routine administrative problems and answer basic inquiries.
- Establish, maintain and update files, records and other documents.
- Arrange and schedule meetings, travel, interviews and appointments.
- Order supplies.
- Report to work when scheduled and in proper uniform.
- Maintain a consistent professional and positive attitude when communicating with guests, vendors and associates.
- Practice safe work habits and comply with sanitary, safety, security and emergency procedures.
- Any other tasks / duties as requested by management.
