Sales & Intake Specialist

We’re looking for a Sales Intake Specialist to join our team - someone who genuinely loves talking with people, is naturally organized, and is excited to be the warm, confident first impression families have of our firm. This role is also responsible for enrolling existing clients into our Trust Maintenance Program (TMP), our ongoing legal wellness membership.

You will be the bridge between people who reach out to the attorneys who serve them and us. You’ll talk with prospective clients who are considering estate planning or trust administration, you’ll guide them through the decision to move forward, and you’ll help schedule their consultations and onboarding. You’ll also be the person who helps existing clients enroll in our Trust Maintenance Program - the ongoing membership that keeps their estate plan working as their family and the law evolve.

You should be someone with a proven track record of using KPIs to drive sales and conversion. You enjoy talking with others, figuring out what makes them tick, and building rapport quickly. You’re comfortable overcoming objections, making follow-up calls, and asking for payment. You’re organized, driven, and you genuinely care about helping families take the next step.

Consistent work experience in the legal field is not required. You may be returning to the workforce after raising your children, or you may have built and led a successful direct sales career. What matters is that you know how to sell with integrity and you have the heart for this work.

Key Responsibilities

• Sales Calls. Hold consultation follow-up calls with pre-qualified prospective clients, confirm their needs, address objections, and close the sale.
• TMP Enrollment Calls. Talk with existing Cookman Law clients about enrolling in our Trust Maintenance Program. Help them understand the value of ongoing plan maintenance, address common questions and hesitations, and complete enrollment.
• Sales Follow-Up. Follow up on pre-qualified leads and inquiries via phone, email, and text to maximize conversion and maintain a high closing percentage.
• Tracking Reporting. Track all leads, conversions, TMP enrollments, and intake metrics. Provide regular reports to leadership on key performance indicators.
• Client Relationship Management. Build rapport with prospective and existing clients, providing excellent customer service throughout the sales, intake, and TMP enrollment process.
• Appointment Scheduling. Schedule consultations with attorneys, coordinating between client and attorney availability.
• CRM Management. Enter and maintain detailed notes and client information in Lawmatics, our client relationship management system.

• Demonstrated experience in sales and customer service, preferably within a law firm or professional services environment.
• Strong written and verbal communication skills, with a warm and professional phone presence.
• Comfortable holding both new-client sales conversations and existing-client retention conversations, with the emotional intelligence to read each one correctly.
• Proficiency with CRM systems (Lawmatics experience is a plus) and Microsoft Office Suite.
• Strong organizational skills, attention to detail, and the discipline to manage a steady pipeline of calls and follow-ups.
• Self-motivated and able to meet or exceed goals related to lead conversion, new client acquisition, and TMP enrollment.
• Comfortable working fully remote, with the structure and self-management that requires.
• Knowledge of the legal industry is a plus, but not required.
• Familiarity with the special needs community, or having a family member with special needs, is a meaningful plus.
