Sales & Operations Coordinator

We specialize in trading and marketing of high-quality building materials and fit-out products from leading European manufacturers. We are seeking a professional, motivated, and exceptional individual to join our dynamic team.

Job Description:

We are seeking a detail-oriented and proactive individual to manage back-office coordination, logistics arrangements, certification processes, potential customer outreach, and structured market outreach activities in the UAE & GCC markets for one of our European brands.

Key Responsibilities:

Meeting Coordination & Market Support

  • Arrange meetings, video calls, and site visits with potential customers, contractors, consultants, and developers.
  • Conduct structured cold calls to introduce the product and schedule appointments.
  • Manage calendar updates, confirmations, and follow-ups.
  • Maintain organized records of client communications and outreach activities.
  • Coordinate company internal activities and actions.

Certification & Documentation Support

  • Coordinate product registration and required documentation with relevant authorities.
  • Maintain updated records of certifications and compliance documents.
  • Collection of necessary technical documentation.
  • Ensure proper filing and documentation control.

Warehouse Coordination – Miralis Operations

  • Coordinate inbound and outbound deliveries.
  • Maintain updated stock and inventory records.
  • Communicate with warehouse staff regarding dispatch schedules.
  • Ensure proper documentation of delivery notes and stock movements.

Shipping & Logistics Support

  • Coordinate shipments from manufacturer to UAE/GCC.
  • Communicate with freight forwarders and clearing agents.
  • Track shipment status and update management accordingly.
  • Assist in scheduling deliveries to warehouse or project sites.

Back-Office & Administrative Support

  • Maintain organized digital and physical documentation.
  • Prepare updates and basic reports when required.
  • Support management in daily company-related coordination activities.
  • Support other tasks as needed to meet our company objectives.

Qualifications:

  • Bachelor’s degree in Business, Marketing, or related field preferred
  • 0–3 years experience in coordination, administration, or business support
  • Proficient in Microsoft Office (Excel, Word, PowerPoint)
  • Good English communication skills (spoken and written)
  • Organized, proactive, and detail-oriented
  • Comfortable handling professional calls and coordination tasks
  • Presentable & professional appearance
