We are seeking a highly organized and proactive Sales Support & Operations Specialist to join our team. The ideal candidate will have prior experience supporting sales and operations functions, preferably for US-based clients or international markets. You will be responsible for managing order processing, shipping logistics, inventory inquiries, client communications, and ensuring a smooth workflow between sales and operations teams. The candidate must be detail-oriented, efficient, and capable of handling multiple responsibilities in a fast-paced environment.
Must Haves
- Proven experience in sales support, operations, or a related role.
- Strong organizational skills with the ability to handle multiple tasks and meet deadlines.
- Excellent written and verbal English communication.
- Proficiency in Microsoft Office Suite (especially Excel) and order processing systems.
- Attention to detail and problem-solving mindset.
- Ability to communicate professionally with clients and internal teams.
Preferred Skills
- Experience with shipping coordination, invoice reconciliation, and logistics management.
- Familiarity with inventory management systems.
- Knowledge of supply chain processes and international shipping practices.
Responsibilities
- Order Processing: Process customer orders accurately and promptly. Verify pricing, inventory availability, and shipping requirements. Communicate with customers to confirm order details and provide updates.
- Shipping & Logistics: Arrange and coordinate shipments to meet delivery deadlines. Liaise with carriers and logistics partners for cost-effective and timely solutions. Reconcile shipping invoices and resolve discrepancies.
- Inventory Management: Monitor stock levels, respond to inquiries about inventory, and provide low-stock alerts to relevant teams.
- Customer Support & Communication: Provide timely and professional responses to customer inquiries, including product details, pricing, and delivery timelines. Prepare quotes based on customer requirements.
- Records & Reporting: Maintain accurate records of orders, shipping, and customer interactions. Prepare routine reports on order status, shipping costs, and customer feedback.
- Process Improvement: Contribute to initiatives to enhance operational efficiency and customer experience.
