POSITION TITLE: Office Manager


REPORTS TO:
Building Principal

TERMS OF EMPLOYMENT: Full Time, 8 hours per day, 208 contract days with benefits as specified in the Classified Agreement.

Santiam Canyon is located in the beautiful foothills of the Cascade Mountain Range and proudly serves the communities of Mill City, Gates, Detroit, Idanha and surrounding areas.   • Position Overview:

    The Office Manager is responsible for overseeing the day to day operations of the school office, ensuring smooth functionality by managing tasks like scheduling meetings, managing/ordering office supplies, greeting visitors, handling school communications, and maintaining office systems, all while prioritizing efficiency and organization in the workplace. They support administrators with confidential and secretarial tasks.

    Office Manager Duties and Responsibilities:

    • Model appropriate behavior in various social settings
    • Communicate by phone, email and in person with people both within the district and outside regarding a variety of business matters, including vendor relations, facilities usage and student records
    • Communicate effectively with teachers, students, educational aides, parents and administrators
    • Maintain and update school website, social media and district calendar
    • Produce and send out school newsletter and other communications
    • Assist administration in scheduling appropriate meetings and completion of paperwork
    • Support the attendance manager with student tardies and absences, including calling parents/guardians
    • Participate effectively at meetings using appropriate social skills, problem solving and conflict resolution strategies
    • Maintain accurate and complete student records while maintaining confidentiality requirements
    • Knowledge of other routine or confidential materials, such as student, staff or faculty records as requested by administration
    • Serve as student registrar, performing enrollment and transfer processing
    • Manage student transcripts and class records
    • Keep records which require a high degree of accuracy, including ledgers of money received, bank deposits, check records and administer student body financial accounts
    • Process requisitions and purchase orders from department accounts
    • Order, receive and distribute inventories and maintain school supplies as budgeted
    • Arrange for substitutes and keep track of payroll/leave/timesheet forms
    • Manage and update the school bell system
    • Manage and coordinate school access (keys/badges)
    • Manage and facilitate graduation with the principal
    • Maintain a safe environment for students at all times
    • Supervise students in the hallways, in the office area, and at the front door; ensuring safety and security at all times
    • Report safety, sanitary and fire hazards immediately to administration
    • Assist students with problem solving and accessing StudentVue (grades/attendance)
    • Evaluate student injuries, determine course of action, perform minor first aid in compliance with district policies and complete required paperwork in a timely fashion
    • Administer medications within the scope of district policies and state and federal law

    Essential Duties and Responsibilities:

    • Demonstrate support for the district’s mission and guiding principles
    • Follow all laws, district policies, rules, regulations, memos, announcements and reasonable requests by proper authority
    • Maintain the integrity of confidential information relating to a student, family, colleague, or district patron, and uses or relays academic, social, or personal information only in the course of performing assigned responsibilities and in the best interest of the individuals involved
    • Maintain appropriate certifications and training hours as required
    • Comply with applicable district, state, local and federal laws, rules and regulations
    • Maintain regular attendance at work and work activities, and is punctual in meeting deadlines, attending meetings, and following schedules
    • Collaborate and confer with students, parents, colleagues and community members in a harmonious and respectful manner
    • Other duties may be assigned

    Required Qualifications:

    • Knowledge of Google Workspace including Gmail, Drive, Docs, Sheets, Slides and Calendar
    • Knowledge of basic accounting software, Citrix IV
    • Maintains appropriate certifications and training hours as required
    • Basic understanding of budgeting
