<Duties>

  • Manage and coordinate appointment schedules for psychiatric providers using electronic health record (EHR) systems Ritten and Charm Health EHR.
  • Verify insurance coverage and perform insurance authorization and verification processes to facilitate smooth patient intake.
  • Utilize medical collection skills to follow up on outstanding payments and ensure accurate billing procedures aligned with HIPAA regulations.
  • Review and update patient records meticulously, ensuring documentation accuracy and compliance with medical terminology, ICD-10/ICD-9 coding, CPT coding, and care plans.
  • Communicate effectively with patients via phone and electronic messaging, demonstrating excellent phone etiquette and customer service skills.
  • Coordinate with clinical staff to schedule appointments that meet patient needs while optimizing provider availability.
  • Maintain comprehensive medical records management, including filing, data entry, and updating electronic health information systems such as Meditech or Eaglesoft.
  • Support medical administrative functions like intake processing, appointment reminders, and documentation review to enhance clinic efficiency.
  • Ensure adherence to HIPAA guidelines by safeguarding patient information during all scheduling and administrative activities.

<Qualifications>

  • Proven experience in medical scheduling within a clinic or healthcare setting, preferably in psychiatric or mental health services.
  • Familiarity with EMR systems such as Charm Health, Epic, Meditech, Athenahealth, eClinicalWorks, or Dentrix is highly desirable.
  • Strong knowledge of medical billing, coding (ICD-10/ICD-9), CPT codes, and insurance verification processes.
  • Excellent organizational skills with attention to detail in documentation review and record keeping.
  • Ability to handle multiple tasks efficiently while maintaining professionalism under pressure.
  • Bilingual abilities are a plus to serve diverse patient populations effectively.
  • Prior experience with front desk operations or medical office management is beneficial.
  • Proficiency in Google Suite (Sheets, Excel) and computer skills essential for daily tasks.
  • Exceptional communication skills coupled with courteous phone etiquette to foster positive patient interactions.
  • Knowledge of HIPAA regulations and health information management practices to ensure compliance at all times. Pay: $25.18 - $30.32 per hour
