Scheduling Manager

Job Summary:


The Scheduling Manager plays a critical role in ensuring that our clients receive uninterrupted, high-quality care. You will manage daily scheduling operations, respond to urgent staffing needs, and lead a small team of schedulers. Your ability to balance people skills with strong decision-making will directly impact the satisfaction of both our clients and caregivers.


Key Responsibilites:

Schedule Management

  • Coordinate and maintain caregiver schedules for all clients.
  • Fill last-minute call-offs or open shifts quickly and efficiently.
  • Ensure accurate data entry into our CRM system (WellSky) for tracking hours and assignments.
  • Collaborate with scheduling staff to develop effective shift-filling strategies and incentive plans.
  • Work directly with caregivers to ensure high quality care and support BlueDot Cares management as needed.

Client & Caregiver Communication

  • Respond promptly to scheduling-related calls, texts, and emails.
  • Monitor scheduler responsiveness and communication standards.
  • Address client and caregiver concerns with empathy and professionalism.

Staff Coordination

  • Oversee 2–3 scheduling staff during each shift.
  • Work closely with other scheduling personnel to ensure consistent coverage and smooth transitions—including after-hours and weekends.

Qualifications

  • Prior experience in scheduling or staffing preferred, but not required.
  • Experience with WellSky software is a plus, but not required.
  • Strong organizational and multitasking skills.
  • Excellent communication (verbal and written) skills.
  • Ability to remain calm and decisive under pressure.
  • Availability to work some weekends and holidays as needed.
