School Operations Manager

Job Overview
Our day care/pre school of over 20 years is seeking a highly organized and dependable School Operations Manager to oversee the day-to-day administrative and operational functions of our early childhood program. This is a non-teaching role (although teaching experience is a huge plus) focused on ensuring the school runs smoothly, remains compliant, and provides a strong experience for both families and staff.

This is a part-time position with a combination of in-person (approximately 3 days/week) and remote administrative support.

Responsibilities

  • Maintain and organize all student and staff records, ensuring medical forms, vaccinations, and required documentation are current and properly filed.
  • Oversee compliance and licensing documentation in accordance with NYC/DOE and DOH requirements.
  • Track student attendance and ensure alignment with internal records and reporting.
  • Manage tuition collection, track payments, and issue receipts to families.
  • Schedule and conduct tours for prospective families.
  • Maintain a master calendar of school events, deadlines, renewals, and key dates.
  • Assist with parent communications and distribution of school-wide memos.
  • Monitor and maintain inventory of office and classroom supplies.
  • Help ensure the school environment remains organized, clean, and presentable.
  • Provide ongoing support to leadership with scheduling, coordination, and daily operations.

Qualifications

  • Strong organizational and administrative skills.
  • Ability to manage multiple responsibilities and take ownership of tasks.
  • Excellent communication and interpersonal skills.
  • Comfortable working independently and proactively.
  • Prior experience in a school, childcare, or administrative setting preferred.
  • Familiarity with NYC childcare or DOE requirements is a plus.

Pay: $50,000.00 - $56,000.00 per year
