Note: This is a remote position and candidates will be working in the US business hours (EST)

Manage accounts payable and receivable processes, including invoice processing, vendor payments, and posting bills related to property portfolios.</li>
<li>Reconcile bank statements and financial accounts, ensuring accuracy and adherence to company policies.</li>
<li>Prepare and maintain financial reports, including monthly, quarterly, and annual financial statements.</li>
<li>Assist in budgeting and forecasting to support strategic financial planning.</li>
<li>Collaborate with property managers and other departments to resolve accounting-related issues and discrepancies.</li>
<li>Maintain accurate and up-to-date financial records in the accounting software system.</li>
<li>Assist with year-end audits and tax preparation activities.</li>
<li>Provide support to the accounting team as needed, including ad-hoc financial analysis and projects.</li>
<li>Coordinate with property managers to ensure accurate recording and allocation of property expenses, including maintenance costs, utilities, and property taxes.</li>
<li>Implement and maintain internal controls and procedures to safeguard company assets and ensure regulatory compliance.</li>
<li>Conduct regular reviews of financial processes, identifying opportunities for improvement and efficiency gains.</li>
<li>Coordinate with external stakeholders, such as vendors, contractors, and financial institutions, to resolve billing discrepancies and financial inquiries.</li>
<li>Participate in cross-functional projects and initiatives to support business growth and operational excellence.</li>
<li>Stay updated on industry trends and best practices in property management accounting, incorporating relevant insights into day-to-day operations.</li>
<li>Serve as a mentor to junior accounting staff, providing guidance and support to enhance their performance.</li></ul> 


Requirements
<ul>
<li>Bachelor's degree in Accounting, Finance, or a related field.</li>
<li>Minimum of 2-3 years of accounting experience, preferably in property management or real estate.</li>
<li>Proficiency in accounting software (e.g., QuickBooks) and Microsoft Excel.</li>
<li>Strong understanding of accounting principles and financial reporting standards.</li>
<li>Excellent attention to detail and organizational skills.</li>
<li>Ability to multitask and prioritize tasks in a fast-paced environment.</li>
<li>Strong communication and interpersonal skills.</li>
<li>CPA certification or progress towards CPA eligibility (preferred but not required).</li></ul>

Job Description:
Adolfson and Peterson Construction is currently hiring for an Accounting Coordinator. This role is responsible for project accounting, accuracy, and compliance with accounting processes, and will support regional accounting.
Primary Accountabilities:
<ul><li>Take personal responsibility for working safely within an Incident and Injury Free (IIF) culture.
</li></ul><ul><li>Ensure financial operations are compliant with company expectations, processes, and controls.\
<ul><li>Audit monthly billings for every project; track timely submissions by project team.
</li><li>Reconcile contract amounts and billed amounts for projects in progress.
</li><li>Verify completed projects are final billed.
</li><li>Prepare journal entries.
</li><li>Follow up on collection of receivables greater than 60 days old.
</li><li>Make remote deposits and submit reports to Business Services.
</li><li>Manage project-specific billing and funding requirements including compliance with any relevant city, state, or federal agency (i.e., HUD, LAHD, prevailing wage, etc.).
</li><li>Evaluate, assess, and initiate improvements on processes between finance and operational functions of the business.
</li><li>Perform in-house audits of invoices.
</li></ul></li><li>Coordinate payment compliance to ensure proper payment for subcontractor suppliers.
<ul><li>Administer the lien release process; authorize payment release for subcontractors and suppliers.
</li><li>Review lien waivers for conditional status before payment.
</li><li>Collaborate with accounting and project teams to ensure that subcontractor payments are made according to contract terms and subcontractor compliance.
</li></ul></li><li>Build and maintain good relations and communications with both internal and external customers, including vendors, subcontractors, and project managers.
<ul><li>Collaborate with project managers to ensure that owner billings accurately reflect time and material billings.
</li><li>Support subcontractors with the Textura online billing system and provide guidance for troubleshooting issues.
</li></ul></li><li>Manage subcontractor and vendor documents.
<ul><li>Manage lien filings following state statutory laws.
</li><li>Implement and maintain lien waiver procedures.
</li><li>Manage subcontractor joint payment agreements, tax levies, and bankruptcy notices; ensure that joint payments are made according to agreement terms and to high-risk subcontractors.
</li><li>Identify subcontractor invoices in order to take available discounts as appropriate.
</li><li>Manage subcontractor communications relating to payment applications, payments, and disputes; provide direction and oversight of the electronic subcontractor disbursement process and manual payments for all regions.
</li><li>Analyze entries and troubleshoot any potential issues.
</li><li>Review insurance requirements for compliance before payment.
</li></ul></li><li>Other duties as assigned.
</li></ul>Requirements:
<ul><li>History of experience and proven results including:
<ul><li>Associates degree in accounting, finance, or related field and 2+ years of relevant accounting experience or an equivalent combination of experience and education. Bachelor's degree in Accounting, Finance, or related field preferred. Experience and familiarity with the A/E/C industry preferred.
</li><li>Accounts payable, accounts receivable, and construction industry experience preferred.\
</li><li>Advanced Microsoft Office Suite skills and the ability to learn other software programs quickly. Knowledge of Spectrum, Prolog, or other accounting programs preferred.
</li><li>Knowledge of GAAP.
</li></ul></li><li>Demonstrated integrity and ethical standards.
</li><li>Developed skills (written, oral, and listening) in order to effectively communicate with diverse audiences.
