Job Description: Admin Assistant & Logistic Coordinator

Reporting : Admin & HR Manager

Admin Assistant Support

• Assist in handling day-to-day office administrative activities.
• Ensure proper filing and record management, both physical and electronic.

• Support accommodation management, including inventory tracking and maintenance requests.
• Coordinate pest control, housekeeping, and facility service providers.

• Support onboarding activities for new employees.

Logistic Coordinator :

• Manage and coordinate the daily operations of a fleet of company owned and leased vehicles.
• Maintain complete records of vehicle registrations, insurance policies, permits, inspections, and lease agreements.
• Ensure timely renewal of vehicle registrations, insurance, Salik accounts, and regulatory permits.
• Coordinate preventive maintenance, servicing, repairs, and breakdown support to minimize vehicle downtime.
• Monitor vehicle tracking systems, fuel consumption, mileage, and driver performance.
• Investigate vehicle accidents, damages, and traffic violations, and coordinate insurance claims.
• Maintain records of traffic fines and ensure timely recovery or settlement as per company procedures.
• Prepare monthly fleet utilization, maintenance, fuel consumption, and cost reports for management review.
• Manage vehicle handover and return processes, ensuring proper documentation and condition reporting.
