What You Will Do<ul><li>

Qualifications 
What You Have<ul><li>
At least 4 years of experience with sales, customer service, and asset management ideally in property management or similar industry (hospitality, retail, restaurants etc.)</li><li>
At least 2 years of experience in a leadership role in property management.</li><li>
2-4 years of experience leading a team of people in competitive sales and customer service environment</li><li>
Proven leader with ability to mentor and coach a diverse group of team members</li><li>
Demonstrated ability using sales processes and metrics to drive results</li><li>
Possess general understanding of financials and budgets</li><li>

Responsibilities:

Lease apartments to qualified prospects using product knowledge, closing techniques, professionalism, and poise while building rapport with the customer.</li><li>
Respond promptly, with a positive, helpful, and courteous attitude, to all walk-in and telephone prospects. Enter all walk-in and phone traffic into database daily. Respond to internet leads</li><li>
Call the answering service as necessary for messages and follow up on all messages.</li><li>
Visually inspect entire property (office, models, compactor, vacants, and amenity areas) daily for cleanliness. Pick up trash and run trash compactor when necessary, and if called for, carry cleaning supplies and/or vacuum up or down stairs to apartment homes, and clean apartment to bring it up to prospect ready standards.</li><li>
Escort prospects to an apartment home and to all amenity areas, using stairs as necessary. Also drive a golf cart or other motor vehicle with prospects as passengers and operate keys in door locks and key closet.</li><li>
Follow up with all prospects by phone and in writing pursuant to PAA&rsquo;s procedures.</li><li>
Accurately type all paperwork needed and enter lease agreement and any other forms into database before submitting lease files for verification.</li><li>
Verify applications and process files quickly through phone calls,</li><li>
correspondence and computer software. Submit to manager for approval prior to move-in</li><li>
Complete verification process in a timely manner. Notify applicant verbally and in writing within 24 hours if application is denied.</li><li>
Process all paperwork and set up file for move-in.</li><li>
Schedule move-ins to minimize rent loss.</li><li>
Maintain a minimum of 20% conversion ratio of total traffic.</li><li>
Follow-up within 24 hours by phone and within 48 hours in writing with a personal note to all prospects.</li><li>
Shop the competition.</li><li>
Review monthly financial reports and supporting data with Community Manager.</li><li>
Make suggestions that will maximize revenue and cash flow.</li><li>
Collect and bank stamp all rent checks daily and enter into database.</li><li>
Maintain a deposit log.</li><li>
Make deposits daily at specified bank office. Operate night drop box when necessary.</li><li>
Notify manager of any delinquent rent and prepare and deliver late rent letters to those residents.</li><li>
Prepare and deliver demand letters no later than the ninth of each month and inform manager. Prepare late rent reminders per your market qualifications as specified in the lease.</li><li>
File all dispossessory for delinquent rent through the office of the County Clerk on the tenth of the month or through designated eviction service.</li><li>
Notify resident in writing and by phone of a returned check. If payment is not</li><li>
received within 24 hours, post demand on resident&rsquo;s door and file dispossessory with County Clerk or eviction service. Keep managers informed on status of dispossessory.</li><li>
Monitor cash receipts book.</li><li>
Collect money from laundry room following coin collection procedures, be sure two associates collect and count cash. Deposit money the same day it is collected.</li><li>
Open mail and date stamp invoices daily.</li><li>
Match invoices with delivery ticket and put in payables&rsquo; file and enter all invoices into database.</li><li>
Submit Invoice List and invoices to manager for approval.</li><li>
Bill residents for any miscellaneous charges such as utility charges. Follow-up on collection.</li><li>
Verify vendor statements and billing discrepancies.</li><li>
Visually inspect apartments for move-ins, move-outs, special resident requests, and turnkey inspections and follow through with any concerns.</li><li>
File all maintenance requests in apartment files.</li><li>
Consistently follow key control system, including, but not limited to, nightly back up of the system.</li><li>
Schedule and inspect apartments for turnkey service.</li><li>
Receive and acknowledge resident notices and prepare files. Collect any early termination fees.</li><li>
Write up all maintenance requests upon receipt.</li><li>
Participate in grounds walk once per quarter.</li><li>
Review monthly general inspection report with manager and participate in improvement efforts.</li><li>
Stays current on relevant market issues and competitive information.</li><li>
Other projects and duties as requested.</li></ul>
Customer Service Responsibilities:<ul><li>
A complete clean and neat uniform must be worn when working on any PAA Property including weekends, if applicable. Personal appearance must be always clean and neat, according to PAA policy.</li><li>

Process all paperwork in accordance with company policies and Fair Housing requirements for new applicants, recertifications, and renewals.</li><li>
Generate, distribute, and monitor renewal notices and follow up accordingly.</li><li>
Coordinate and process all lease paperwork for all move in and move outs.</li><li>
Collect payment of rent according to company procedures and policies.</li><li>
Handle and process all delinquency matters and reporting as need be.</li><li>
Maintain strong resident relations while continuing to enact company and community policies.</li><li>
Lead all resident relations matters or concerns that are presented in a timely manner.</li><li>
Maintain relationships with all vendors, suppliers, and professionals servicing the company and/or property.</li><li>
Record and document all resident correspondence as appropriate.</li><li>
Report and document all accident and emergency situations in a timely manner.</li><li>
Maintain all resident files and any confidential information in a secured area in compliance with company policies and the fair housing law.</li><li>
Maintain all maintenance files and binders, accounting records, budget and marketing binders in a safe and secured area.</li><li>
Oversee and supervise all maintenance activity of employees and independent contractors.</li><li>
Manage all on-site property employees with providing proper training, guidance, and coaching.</li><li>
Make recommendations and assist with marketing efforts to ensure effective and creative strategy implementation.</li><li>
Understand, maintain, and stay up to date on assigned property(s) description and classification.</li><li>
Maintain a current working knowledge and adhere to the fair housing laws, its policies and practices, in accordance with ACC Management Group policies and procedures.</li><li>
Coordinate, plan, and review with the Regional Manager the next years budget allowance for approval.</li><li>
Coordinate bank deposits as needed.</li><li>
Complete all assigned reports and/or projects to the Regional Manager by the required deadline.</li></ul>
Requirements:

Knowledge, Skill &amp; Ability Requirements<ul><li>
High School diploma or equivalent required.</li><li>
1-2 years of property management or industry related experience required.</li><li>
Knowledge of project-based section 8 or section 42 experience a plus.</li><li>
Knowledge of fair housing laws a plus.</li><li>
Knowledgeable and proficient with computer software applications in word processing, spreadsheets, database and presentation software (MS outlook, word and excel).</li><li>
Experience with Onesite software is a plus.</li><li>
Must be able to physically inspect the properties.</li><li>
Maintain valid driver's license with acceptable driving record.</li><li>
Flexibility with working hours and availability for later hours or Saturdays as needed.</li><li>
Ability to prioritize and possess efficient time management skills.</li><li>
Demonstrates excellent verbal and written communication skills.</li><li>
Strong customer service skills with ability to handle complaints in a positive and time efficient manner.</li><li>
Goal-oriented and team player.</li><li>
Ability to work independently under tight deadlines.</li><li>
Exhibits a high degree of professionalism and respect through appearance and interactions with others. Ability to lift to but not limited to 25 pounds unassisted and as needed.</li></ul>
Supervisory Responsibility
This position will be required to supervise a staff on-site of but not limited to maintenance technicians, assistant community managers, leasing agents, and cleaners.
Work Environment
This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, telephones, photocopiers &amp; fax machines, filing cabinets/etc.
Physical Demands
The physical demands described are those that must be met by an employee to successfully perform the essential functions of the job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to physically stand, walk, bend, climb, and use full hand range of motion and finger dexterity to touch and feel. Must be able to reach with hands and arms and lift up to 25 pounds unassisted and as needed.
Travel
Travel is required to assigned property locations using personal transportation. Must also be able to travel to all trainings and meetings arranged through the Corporate office periodically throughout the year.
