We are seeking a St. Louis-based Benefits Specialist to work a hybrid schedule and manage all aspects of employee benefits and compliance at GrayMatter. This individual will administer benefit plans&mdash;including medical, dental, vision, life insurance, disability, and retirement&mdash;while supporting open enrollment, new hire enrollments, and life event changes. The role includes reconciling benefit invoices, maintaining documentation and communications, and collaborating with brokers and carriers on eligibility, claims, and plan updates. The Benefits Specialist will ensure compliance with federal and state regulations, support audits and reporting, and monitor legislative changes. They will also maintain accurate HRIS data, assist with system updates, and serve as the primary contact for employee benefit inquiries, onboarding/offboarding, and manager support. Additional responsibilities include cross-training in payroll administration, managing the HR shared inbox, and contributing to continuous improvement of benefits workflows. 
 
General Job Duties:</div>
<ul><li>Administer employee benefit plans including medical, dental, vision, life insurance, disability, and retirement; support open enrollment, new hire enrollments, and qualifying life events.</li>
<li>Reconcile monthly benefit invoices; maintain benefit documentation, guides, and employee communications; collaborate with brokers and carriers to manage eligibility, claims, and plan updates.</li>
<li>Ensure compliance with federal and state regulations (ERISA, ACA, COBRA, HIPAA, FMLA); maintain required records and filings; support audits, testing, and annual reporting (e.g., ACA 1095-C, Form 5500); monitor legislation and recommend updates.</li>
<li>Support HRIS System Administrator to ensure benefit data accuracy and system functionality; audit HRIS data for correct setup and deductions; troubleshoot data issues and assist with system testing and updates.</li>
<li>Serve as primary contact for employee benefits inquiries, providing clear guidance and timely resolution; educate employees on benefit programs, policies, and procedures; assist with onboarding/offboarding and support managers with benefits-related questions and reporting.</li>
<li>Cross-train in payroll administration and provide backup support during absences.</li>
<li>Help manage the HR department&rsquo;s shared inbox, ensuring timely responses and proper routing of inquiries; contribute to continuous improvement of benefits workflows and cross-functional collaboration.</li>

Position Description:
The Senior Benefits &amp; Leave Specialist will have responsibility for administering employee leaves and benefits in accordance with carrier contracts, including medical, dental, life insurance, long-term disability, FMLA, PFML (Washington), FSA and COBRA, retirement (403b), pension and Workers Compensation. This position supports for an employee base of around 900. They will be responsible for compliance with federal, state and local regulations affecting health, welfare and retirement benefits and adherence to established company policies. They will provide training and quality assurance support to the HR Generalist on leave and benefits administration. They will also provide consultation to the HR team on workers compensation and complex employee leave and benefits issues.
The Senior Benefits &amp; Leave Specialist will also provide training and technical assistance on the HRIS platforms, including the implementation of new platforms. They will partner with HR leadership to provide data analysis to inform agency leadership decisions.
Key Responsibilities:
Reporting &amp; HRIS :
<ul><li>Provide training and technical assistance to employees and managers on HRIS and benefits platforms.
</li><li>Support HR data analytics efforts by building reports and providing data analysis to inform HR and management decisions.
</li><li>Liaison with agency leaders and stakeholders on implementation of new HRIS and data management tools.

<ul><li>Coordinate benefit programs including, but not limited to, medical, dental, vision, disability, life and flexible spending.
</li><li>Research and respond to employee questions regarding all aspects of employee benefits and act as a liaison between employees and insurance carriers.
</li><li>Responsible for the input and maintenance of all employee data in HRIS systems and benefits information in vendor websites where a carrier feed does not exist, including processing benefit enrollments, changes and terminations, as well as COBRA.
</li><li>Troubleshoot carrier feed issues by working with current HRIS and insurance vendors.
</li><li>Work closely with payroll to ensure accuracy of employee data, including hires, employee changes, benefits deductions and terminations.
</li><li>Maintain benefit records for all employees annually during open enrollment and routinely for employee qualifying events such as new hires, new benefits, family status changes, and all related plan activities; analyze enrollment data regularly to ensure accuracy.
</li><li>Present pension eligible report to HR leadership before implementation.
</li><li>Coordinate annual Open Enrollment and benefit related events.
</li><li>Maintains regulatory notices, reporting fillings and forms including, but not limited to: ACA mandates, non-discrimination testing, etc.
</li><li>Responsible for reviewing and reconciling monthly benefit invoices.
</li><li>Facilitate new hire and benefits orientations.
</li></ul>Benefit Billing:
<ul><li>Review benefits billing statements prepared by HR Generalist to ensure accuracy and compliance.

</li><li>Mail out payment to carriers.

<ul><li>Following open enrollment, audit benefit forms against system reports to ensure accuracy.
</li><li>Per pay period audit the unused deductions report and contact staff to resolve the issues. Inform HR Director of unusual circumstances.
</li><li>Run reports for ACA measurement periods. In collaboration with the HR Director, track employee hours for ACA determination. Send eligibility letters and benefit packets.
</li><li>Run reports (New Hires, Promos, Transfer) to ensure that all eligible staff is on benefits and their salary grade coincide with their benefit deduction.
</li></ul>Administrative Support:
<ul><li>Perform basic administrative tasks associated with the HR function, and participate in HR Initiatives.

Position Description:
The Benefits Coordinator is responsible for performing a wide variety of benefit support functions, including but not limited to benefit policy and procedure interpretation, benefit and retirement administration, regulatory compliance, wellness, training and customer service for Goodwill of Central and Northern Arizona (GCNA) and its affiliated entities.
Essential Duties and Responsibilities:<ul><li>
Daily, effectively communicates via phone, mail, and email to Team Member inquiries and requests regarding their benefits. Forms of Team Member communication include phone calls, emails and tickets submitted through our ticketing system.</li><li>
Partners with Leaders, HR Business Partners, and Third-Party administrators in the weekly process of Team Members eligibility. Tracks notices to confirm that benefit offers are made to eligible Team Members.</li><li>
Assists with Team Member retro-payment adjustments for benefits after the effective date of enrollment, changes, terminations, etc. and partners with Payroll for processing.</li><li>
Responsible for reconciling bills from carriers as well as internal and external system audits, as needed.</li><li>
Assists with the reporting requirements of all relevant government rules and regulations, including the Employee Retirement Income Security Act (ERISA).</li><li>
Tracks and processes medical support orders, including any follow-up that may be needed.</li><li>
Reviews audit reports generated by various sources and resolves benefit data discrepancies.</li><li>
Mediates between benefit providers and Team Members, such as assisting in handling Team Member&rsquo;s routine benefit-related questions.</li><li>

Ulliman Schutte is seeking a Benefits Specialist to join our motivated Human Resources team in supporting the company&rsquo;s operations and growth. The highly interactive, team-based nature of this position 
requires presence in our Miamisburg, Ohio headquarters office. 


Benefits Specialist Daily Life 

<ul>
<li>Administer employee benefits programs, including medical, dental, vision, life insurance, and other offerings.</li>
<li>Ensure compliance with federal and state regulations related to employee benefits as well as with company policies.</li>
<li>Guide employees through benefit enrollment at the time of hire, for life events, and during open enrollment periods.</li>
<li>Serve as the primary point of contact for employee benefit inquiries, providing clear and helpful information.</li>
<li>Manage COBRA administration and other benefit compliance activities.</li>
<li>Perform audits to ensure benefit enrollment data is accurate and up to date.</li>
<li>Assist with benefit communications, both in English and Spanish if applicable.</li>
<li>Champion company wellness initiatives for employees.</li>
<li>Collaborate with benefit providers and other third-party administrators.</li>
<li>Work closely with HR and Payroll team to ensure accurate employee deductions and records.</li></ul> 


Qualifications

Strong communication skills, with the ability to explain benefits in a way that is easy for employees to understand.</li>
<li>Excellent customer service mindset&mdash;patient, helpful, and responsive.</li>
<li>Strong critical thinking and problem-solving skills.</li>
<li>High attention to detail and organization.</li>
<li>Commitment to maintaining employee trust and confidentiality.</li>
<li>Comfortable working with employees from diverse backgrounds and roles, including job sites.</li>
<li>Bi-lingual in English and Spanish strongly preferred.</li>
<li>Previous experience in HR, benefits, or a related role.</li>
</ul><ul><li>Degree in Human Resources, Business Administration, or related field preferred or minimum of 5 years experience working with Benefits Administration for large private organizations.</li></ul>

 Responsibilities

 Qualifications

 Bachelor&rsquo;s Degree required.

 5+ years of hands-on experience in employee benefits administration across mid-size to large organizations.

 <li>
 
 
 Broad knowledge of health, welfare, retirement, and leave programs.
 
 
 </li>
 <li>
 
 
 Exceptional attention to detail, organization, and follow-through.
 
 
 </li>
 <li>
 
 
 Proven success in streamlining and automating benefits processes.
 
 
 </li>
 <li>
 
 
 Strong analytical, problem-solving, and communication skills with a customer-first mindset.
 
 
 </li>
 <li>
